Job description

We are seeking a dynamic and highly organized Executive Assistant / Operations Manager to join our team. This role involves providing high-level administrative support and managing operational tasks to ensure the smooth functioning of our organization. The ideal candidate will act as the point of contact between the executives and internal or external colleagues, handling communications, scheduling, and various administrative duties.

Key responsibilities

    • Act as the primary point of contact between executives and internal/external colleagues.
    • Provide administrative assistance, including writing and editing emails and preparing communications on behalf of the executive.
    • Organize meetings, including scheduling, sending reminders, and follow-ups.
    • Answer corporate phone calls and manage communications.
    • Manage the corporate website and company profile on public directories.
    • Oversee and maintain the CRM system.
    • Make travel arrangements and create detailed travel itineraries.
    • Assist with operational tasks, including legal needs.
    • Maintain vendor relationships and manage contracts.
    • Prepare reports and handle special projects, which may include data research and data collection.

    Requirements

    • Minimum of 2 years of experience as an Executive Assistant or Operations Manager.
    • Strong written and oral communication skills with excellent command of the English language.
    • Ability to multitask and prioritize tasks effectively.
    • Excellent time management skills.
    • Well-developed organizational skills with a keen attention to detail.
    • Professional discretion and confidentiality.
    • Proficiency in managing CRM systems and other relevant software.
    • Ability to handle a fast-paced work environment with a proactive and flexible approach.
