Position Description

Under the general direction of the Director of Facilities, the Project Manager provides leadership and coordination on high-level projects and initiatives across multiple departments.  This is a hybrid remote position, with travel to project sites as needed. 

 

Essential Functions

  • Directly, and through the Director of Facilities and other senior leaders, manages a variety of plans and programs that are designed to achieve agency goals and priorities.  Such plans and programs may include the development, implementation, and ongoing progress monitoring of construction, remodeling and updates to facilities    
  • Coordinates and facilitates the work of multidisciplinary teams for the purposes of planning and implementing projects and initiatives that require the following: 
    • Identifying necessary resources (e.g., contractors, permits, staffing/personnel, facility, equipment)
    • Facilitating team/committee meetings regularly remotely and on site to review project status
    • Preparing timelines and delivering written and oral reports on project status
    • Ensuring that team/committee meetings are scheduled as needed and that all parties have relevant documents and other information in advance of these meetings, post all materials to shared platforms
    • Establish positive and productive relationships with Facilities staff, program leadership, contractors and government agencies
  • Participates in the development, implementation, and evaluation of projects
  • Coordinates work as needed between multiple programs and departments as needed.
  • Assists the Director of Facilities, Facility Managers and the Senior Property Directors in reviewing and analyzing proposed projects and initiatives, including but not limited to the following components:
    • Project proposals or plans to determine time requirements and allotment of available resources to various phases of the project
    • Establishment of work plans and staffing for each phase of the project
    • Required reports and other documentation including updates on modifications to project schedules and plans
    • Deadlines for completion of the project and instructions/guidelines for submitting final project materials   
  • Confers regularly with the Director of Facilities and other senior leaders to provide updates on the status of projects and initiatives, including updates on such areas as organization and processes, and to support the functioning of newly implemented systems or procedures.   
  • Update and share information as requested with Development staff who are reporting on the status of projects and initiatives to funders/donors in monthly, quarterly, and/or end of year reports. 
  • Documents or makes arrangements for documentation of decisions made in staff and other meetings.
  • Assist with vehicle fleet management and procurement 
  • May be required to carry a mobile device
  • Performs other duties as assigned

 

Driving Requirements

  • May be required to operate a vehicle 
  • May be required to have a valid driver’s license and a “satisfactory” driving record
  • May be required to have access to a personal vehicle for use during work hours(mileage reimbursement available)

 

Education and Experience

  • Detail Orientated
  • Experience with project management, permitting, building codes, standard construction principles, able to read/comprehend prints and plans
  • Excellent written and oral communication skills to effectively communicate relevant information to appropriate parties
  • Computer literate including Microsoft Office and Internet Explorer with the ability to learn new software applications

 

Physical Requirements

Ability to access all areas of buildings and facilities- ie- roof areas, ladders, basement/craw spaces, exterior windows, rough terrain, and all construction site variables.  Must be able to lift/move 50lbs repeatedly.  Ability to communicate effectively both verbally and in writing.  May spend extended period on the telephone, at the computer terminal or operating other office machines, requiring eye-hand coordination and finger dexterity. Varied work hours at times.
