The Job in a Nutshell💡

Hi all! We are looking for a Personal Assistant to perform various tasks and activities, ensuring efficient management of schedules, travel arrangements, and expense reports. To excel in this position, you should possess exceptional organizational and time management skills, with the ability to operate autonomously. Your role will significantly contribute to our business efficiency by delivering personalized and timely support to the direct manager.

What Will You Do❓

  • Manage the direct manager’s schedule, including arranging meetings and coordinating travel.
  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Schedule and manage meetings, handle logistical arrangements, distribute meeting materials in advance, record and circulate minutes, and address inquiries.
  • Manage information flow in a timely and accurate manner.
  • Maintain and organize the manager’s calendars and facilitate meetings' setups.
  • Coordinate conference calls, transcribe notes, and type correspondence/meeting minutes.
  • Make travel and accommodation arrangements.
  • Format information for internal and external communication such as memos, emails, presentations, and reports.
  • Respond promptly to inquiries and requests from the direct manager.
  • Support internal communications by disseminating information and scheduling presentations.
  • Track daily expenses and prepare periodic reports (weekly, monthly, quarterly).
  • Organize and maintain the office filing system.

 

What Are We Looking For❓

  • Bachelor’s degree in Education, English, Business Administration, or a related field.
  • Solid experience with office management systems MS Office.
  • Proficiency in office management software (MS Office suite).
  • Familiarity with online calendars and cloud-based systems.
  • Strong communication and interpersonal skills (phone, email, and in-person).
  • Experience handling confidential and sensitive company information with discretion.
  • Excellent organizational abilities, proactive thinking, and effective prioritization skills.
  • Exceptional written and verbal communication skills in English.
  • Fluent in English and Arabic is a plus.
  • Self-starter capable of working independently across different teams and managing multiple tasks simultaneously.
  • Strong project reporting skills, with a focus on interdepartmental communication.
  • Demonstrated proficiency in project coordination and interdepartmental communication.
