Role Highlights

Employment type: Full-time
Shift: 8:00 AM - 5:00 PM (Flexible); Mon-Fri
Work setup: Permanent WFH, Ortigas


Responsibilities: Key Duties & Triumphs

  • Coordinate daily complex calendars for the Executive and Practice Lead Team.
  • Coordinate agendas for the monthly Practice Lead meeting, quarterly townhall, and quarterly strategy meetings with the General Manager.
  • Work closely with staff and clients to find mutually suitable meeting times either virtually or face-to-face, prioritizing client requests and time zones.
  • Serve as the point of contact for all Practice Leads one day a week.
  • Manage office requirements, including booking rooms and adding new members.
  • Keep contacts in our CRM up-to-date (e.g., Coffee List).
  • Manage end-to-end travel arrangements for domestic and international staff, including booking the best available fare, hotel accommodation, and car hire, and input all these details into the calendar.
  • Coordinate external conferences with vendors end-to-end, including delegations and registration.
  • Manage company events with guidance from the Executive, People, and Culture Coordinator.
  • Assist Human Resources with onboarding and offboarding staff.
  • Act as the point of contact for Philippines-based staff.
  • Perform ad hoc duties as required.

First 6 months expectations:

  • Attend our Data Management training.
  • Efficiently manage the General Manager’s calendar.

After 6 months:

  • Assume additional calendar management responsibilities, including the Director’s calendar and other Practice Leads.


Requirements

Qualifications Needed: Essential Aptitudes

  • 5 years of experience as an executive assistant or in similar roles such as Events Assistant, Admin Assistant, or Project Assistant.
  • Advanced proficiency in Microsoft Office 365: Outlook, Word, Excel, and PowerPoint.
  • Experience with Salesforce is desirable.
  • Proven ability to work independently and with professional discretion.
  • Excellent organizational skills with the ability to think proactively, prioritize work, and meet deadlines.
  • Proactive approach to problem-solving with strong decision-making skills.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, and other organizations.
  • Ability to collaborate effectively with a broad range of organizations, locally, nationally, and internationally.
  • Great attention to detail.
  • Excellent communication skills, both written and verbal.
