Job Title: Care Operations Associate

About the Role:

As a Care Operations Associate, you'll play a vital role in supporting the smooth operation of our care coordination or patient experience team. You'll work closely with internal and external stakeholders to ensure patients receive timely access to appropriate care and have a positive healthcare experience.

Duties and Responsibilities:

  • Provide exceptional customer service to patients, caregivers, and healthcare providers by phone, email, and/or in person (as applicable).
  • Assist patients with scheduling appointments, navigating healthcare systems, and understanding treatment options.
  • Verify patient insurance information and manage referrals (as applicable).
  • Track patient progress and care coordination activities in our electronic health record (EHR) system or other designated platform.
  • Conduct data entry and maintain accurate patient records (ensuring HIPAA compliance).
  • Process incoming requests for pre-authorization or prior approvals (depending on role focus).
  • Troubleshoot and resolve patient issues or concerns in a timely and efficient manner.
  • Research and answer inquiries related to healthcare services and benefits.
  • Follow up with patients and providers to ensure care plans are followed and expectations are met.
  • Prepare reports and documentation as required.
  • Maintain a clean and organized work environment.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent (associate degree in Healthcare Administration or related field a plus).
  • Minimum of 2 years of experience in customer service or a healthcare setting (experience in care coordination or patient experience a plus).
  • Strong understanding of basic medical terminology (a plus).
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in computer skills, including Google Workspace, Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn new software programs and adapt to changing priorities.
  • Detail-oriented with a high degree of accuracy and a commitment to patient confidentiality (HIPAA compliance).
  • A positive and compassionate demeanor with a focus on providing exceptional service.
  • The ability to work independently and as part of a team.
