Your missions

We are seeking a dependable and proactive Real Estate Executive Admin Assistant to support our client's executive team. As a Real Estate Executive Assistant, you will work remotely to ensure the smooth flow of day-to-day operations. Your responsibilities will include managing executive schedules, organizing important documents, performing administrative duties, and coordinating with different teams within the company. The ideal candidate should have exceptional communication and time management skills and be comfortable working in a fast-paced environment.

  • Manage email and calendar and slack, including scheduling and prioritizing appointments, meetings, and events.
  • Be the gatekeeper of time and availability.
  • Be able to identify what is urgent for the client to access and acknowledge first.
  • Prepare follow up and recap emails to clients after meetings.
  • Coordinating entry-emails for buyers.
  • Sending intro emails to the client so they are fully aware of what is happening.
  • Updating stages in Follow Up Boss to ensure all data is accurate and complete.
  • Coordinate and confirm meeting schedules, including preparing meeting materials and agendas.
  • Be sure to manage the clients leads within different platforms to ensure prospects are maintained and updated accordingly.
  • Handle bill payments and expense tracking for executives.
  • Utilize our database to pull leads and generate reports as needed. 
  • Collaborate with high-level founders to support their administrative needs.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Communicate with airlines and travel agencies to ensure smooth travel experiences for executives.
  • Create presentation slides for events.
  • Perform general administrative tasks, including filing, copying, and document management.
  • Support Misc. Ad-Hock Tasks

Requirements

  • Ability to work independently without being told what to do consistently and as part of a team, maintaining professionalism at all times.
  • Experience working with high-level executives.
  • Strong problem-solving skills that provide solutions when challenges are met without having to wait to be told.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong critical thinking skills to anticipate needs and proactively address issues. 
  • Exceptional verbal and written communication skills.
  • Proficient in using email and calendar management tools.
  • Experience in travel booking and coordination.
  • Discretion and confidentiality in handling sensitive information. 
  • High-speed internet connection and a dedicated workspace for remote work.
