Alumni Events Coordinator

Work Location:

National Service Center - Remote

Schedule:

Full time

To advance the purpose of InterVarsity, this position will provide logistical and administrative support for Alumni events in partnership with the Campus staff and the national events team.

MAJOR RESPONSIBILITIES

Personal:             

  • Be a maturing disciple of Jesus Christ: growing in love for God, God's Word, God's people of every ethnicity and culture, and God's purposes in the world

Provide operations and logistical support for national events planned and carried out by the department to include:

  • Assist Alumni Engagement Coordinators with event registration and related tasks
  • Assist with maintenance of the registration system and associated databases.
  • Provide and publish reports as requested.
  • Develop and maintain custom reporting
  • Ensure data accuracy and integrity of registration information
  • In partnership with the Assistant Director of Alumni Development and Operations, track event expenses, account reimbursements, and necessary GAUs.
  • Following the event timeline, coordinate formatting and distribution of event-specific communication. Respond to inquiries from event attendees via phone, email or social media in a timely and accurate manner.
  • In partnership with the Alumni Engagement Coordinator and field liaisons coordinate resources, materials, and supplies for event management (i.e. handbooks, handouts, office materials, nametags, folders, registration materials, etc).
  • Prepare, distribute, collect, and organize post-event evaluation data.
  • Assist the Associate Director of Alumni Engagement as needed with additional logistics of events, such as venue research, food & beverage needs, function space, transportation, and childcare.

Provide on-going administrative support to include:

  • Organize, maintain and oversee databases, supplies and inventory of department resources
  • Maintain and update website content for events
  • Prepare routine and ad hoc reports as requested
  • Identify and solve problems within scope of responsibility
  • Respond to requests for assistance

Maintain professional growth and involvement: 

  • Stay informed of alumni engagement strategies and opportunities
  • Attend onsite and in-person meetings as needed
  • Maintain professional growth through continuing education
  • Be responsible for good stewardship of time, equipment, and materials

 

Maintain sound financial status: 

  • Raise personal support at the level assigned by supervisor
  • Develop and maintain a small group of people who commit to support your ministry with prayer
  • Communicate regularly with donors and ministry partners

QUALIFICATIONS

  • Annually affirm InterVarsity’s Statement of Faith
  • Experience with InterVarsity’s ministry preferred
  • Related experience in the meeting industry preferred
  • Bachelor’s degree preferred
  • Able to attend in-person events as needed
  • Administrative office experience
  • Desire to work for a missional ministry
  • Ability to work flexible hours
  • Ability to work independently and meet deadlines
  • Ability to evaluate and improve on present systems
  • Takes advantage of both formal and informal learning opportunities
  • Demonstrated ability to work with diversity
  • Strong planning and organizing skills
  • Relationship skills that lead to good teamwork and good service
  • Oral and written communication abilities
  • Maintain accurate records
  • Working knowledge of Microsoft Office Software
  • Work well under pressure of deadlines
  • Fund development experience preferred

This position is funded through personal fundraising. Accordingly, compensation will vary based on the ability of the individual to secure a donor team to fund the cost of his/her salary. The anticipated salary range for this position on a full-time basis (40 hours/week) is dependent on a variety of factors, including location and cost of living. The actual salary received is subject to the individual’s ability to raise funds necessary to cover the full amount of the salary range noted in the job posting.

Pay Range: $33,900.00 - $45,204.00 per year
