Position Focus**

Under the direction of the Lead Administrator of the Department of Neuroscience and reporting directly to the Senior Finance Manager of Neuroscience, the Portfolio & Grant Accountant (P&GA) will provide professional support to the post-award team, faculty, staff and senior management. The P&GA will be responsible for the financial management and oversight of a portfolio of accounts, including financial reporting and analysis, budgeting, and forecasting and planning. Will apply expertise to a portfolio of sponsored research projects and provide direction to aid the PI and direct staff in making informed, strategic decisions. Responsible for complex modeling for PI’s portfolio of funds to develop long and short-term resource plans. Creates and updates financial plans and financial reporting. Cultivates working partnerships and communications with faculty, PIs, OSP and departmental leadership. Manages all aspects of work activities to ensure the highest quality of customer service, financial reporting and compliance with accounting principles, sponsor requirements and Yale University policies and procedures. The successful candidate will also be responsible for monthly financial reporting and compliance. Responsible corrective actions determined necessary after review. Provides professional support and guidance to the post-award team, lead administrator and faculty under the supervision of the senior finance manager. The P&GA will be responsible for project financial management and assisting in the management of the grant and contract (G&C) post award process with particular focus on financial planning, controls, budgeting, forecasting, transactions and reporting for the most complicated portfolios. Will provide financial stewardship of our portfolio of G&C for sponsored research and present financial information and recommendations through data analysis and reporting for each account while developing and maintaining budgets and projections. Read and interpret notice of awards from a wide range of agencies and ensures deliverables and requirements are met. Responsible for providing appropriate guidance on compliance matters and collaborates with account holders to maintain such compliance. Responsible for the oversight and mgmt of complex financial budgeting, spending, reporting, projections and planning within Yale and funding agency guidelines and policies. Identifies needs pre-award or at-risk accounts, coordinates Sponsor prior approval requests, prepares interim and final Financial Status Reports (FSRs) and closeout reports specific to the sponsor for each account. Will also review and update application and provide input to JIT documents. Communicate all deadlines and ensure all deadlines are met. Additionally, special projects will be assigned as required. **

Essential Duties**

  • Financial Analysis and Reporting: Present financial information and recommendations thru data analysis and reporting in the development and maintenance of large, complex portfolios. Identify and influence strategic opportunities within the portfolio to stakeholders. Researches issues, evaluates the entire situation, identifies policies, procedures, and guidance material relevant to resolution and proposes a recommendation or solution. Responsible for all financial analysis and budget activities, which includes multiple budgets with various funding levels, staggered budget periods and end dates, varying overhead rates, differing policies regarding allowable costs, and management of the acquisition and loss of sponsor funding. 2. Compliance and Risk Management: Monitor and certify to policy adherence for all financial activity within the portfolio by incorporating the policies of Yale and various funding agencies into the financial planning and review of expenditure activities. Advise faculty and clients of the appropriate financial policies. Maintain the fiscal integrity of the portfolio and department. Reviews and approves all expenditures with both sponsor and Yale policies and regulations in mind and ensures proper documentation and support exists to substantiate charges made to sponsored awards. 3. Proposal Management and Oversight: Plans, prioritizes actions and provides direction across multiple awards and portfolios. Provides oversight counsel and expertise relative to significant impact at the business unit level. Provides a more strategic direction in the management of accounts and collaboration with account holders. Review and interpret sponsor documents (i.e., applications, award notices, and terms and conditions). Handle all activities for assigned portfolios in managing sponsored awards, ensure the proper and timely filing of sponsor documents, including submissions, modifications, extensions and all post award required reports (financial, technical, etc.). 4. Collaborative and Strategic Finance Partner: Collaborate with other Business Offices, Central Offices, external institutions and sponsoring agencies to ensure the proper management of sponsor funds. Based on the funding and activities of the faculty member or client, identify and propose alternatives for allocating effort, spending pattern adjustments, and allocation methodologies. 5. May perform other duties as assigned.

Required Education And Experience

Bachelor’s degree required. Four years of related financial experience required. Demonstrated application of financial, accounting and economic concepts. **

Prior Research Administration experience. Strong financial/analytical skills and attention to detail. Demonstrated application of financial and accounting concepts. Ability to analyze & understand information from multiple sources including funding opportunity announcements, submission procedures and conditions for continued funding. Strong with (Excel and Word). **

Required Skill/Ability 2**

Excellent written and verbal communication skills required for interaction with faculty, teammates and departmental personnel. Ability to cultivate and maintain strong working partnerships with Faculty, Principal Investigators, Sponsors, OSP, OSP Financial Management, and other key stakeholders. **

Superior organizational skills with ability to prioritize and multi-task between faculty members, programs, and deliverables in a fast-paced office. Ability to resolve conflicting demands. Ability to independently prepare custom detailed accounting reports & statements. Skilled in creating and delivering financial reports & information. **

Preferred Education, Experience And Skills**

In-depth knowledge of Yale University policies and procedures. Previous Sponsored Award financial management in an academic medical center, Workday, and YBT experience. Two-year experience with a demonstrated ability to work in a fast-paced environment. **
