Job description

Grow your career as a successful Operations Coordinator within ALG Vacations, one of our 14 industry-leading brands. In this role, you will be responsible for overseeing a diverse array of administrative and operational support tasks, including some manual processes, all of which play a vital role in elevating the overall vacation experience for customers. This role involves collaboration with various teams and departments within ALGV, as well as engaging with suppliers, travel agents, and the traveling customer. Additionally, this role has key responsibilities for providing comprehensive booking support and service of all promotional type bookings for both B2C and B2B, managing them from initiation to completion. **

A successful Operations Coordinator will:**

  • Process new travel agency applications; Ensure all new travel agency applications are worked and agencies are set up in our system within 5-7 business days; Responsible for approving/denying apps, effectively uses White Pages application to complete agency back ground checks, Uses IRS website for TIN matching, maintain application log, inspects all questionable accounts and elevates as needed, works with receivable accounting to ensure fraudulent accounts are not added to our system and maintains bad agency list.
  • Manage the TAA email box; Processes Travel Agency Profile Updates; accountable for accurately managing all processes associated with travel agency profiles; provides data entry support for name changes, address, phone, email and payment status changes. All updates are processed within 24-48 hours and payment status changes are done the same day.
  • Investigate and resolve operational exception reports such as WN orphan report, duplicate PNR report, un-vouchered report, accounting duplicate tickets, WN name corrections.
  • Manage the Transfers email box which includes responding to emails from DMCs requesting flight info for pax arriving within 7 days, request missing flight information including outgoing communications using system generated reports and entering data into the reservation, communicate with DMCs to advise which customers are removing transfers, entering flight info for Club MoBay feature.
  • Manage Charter/Risk flight schedules by ensuring all ENVF times/schedule are updated in the system, ensures all airline secure manifests are programmed to generate, ensures all special requests are communicated to airline, create and maintain voucher charter check in verbiage, organizes and responds to all misc emails internal and external in the flight ops email box.
  • Process miscellaneous support functions that directly impact the customer such as UV and WN bonus miles reporting, assigning promo codes for brand corporate and military discounts.
  • Manage all aspects of commission entry across all applicable brands including but not limited to: Component, ARC group and Value Merchandising platforms; Processes all commission adjustments; Maintains commission indicator icons, Processes all consortia updates, Maintains process for GIVC and Asset programs; Year-end reset processes.
  • Book air, hotel and feature components as requested to fulfill promotional travel prize or trade agreements for consumers, travel agents, radio stations, barter companies, or other parties across brands. Follow established procedures for promotional reservations to book, apply payment, adjust records, and manage overall booking process. Track bookings and comment records appropriately.
  • Manage all aspects of order/fulfillment for brand service credits and gift card fulfillment .
  • Demonstrate a commitment to Hyatt core values (included in all job descriptions).

A successful Operations Coordinator will have:**

  • High school diploma or equivalent
  • Basic understanding of the travel industry and/or travel agency background
  • At least 1+ year related experience and/or training or equivalent combo of education and work experience
  • Computer proficient, you will use Tandem, Trisept Merchandising Platform, INGO Reporting, Salesforce, Vax VacationAccess & Rez Agent, Trisept Manifest Reporting Suite, Ekata, MS Excel including VLookup, MS Word including Mail Merge, TEAMS, Power Automate and other 3rd party systems such as SVS Gift Card Portal
  • Strong administrative, organization, and time management skills (ability to prioritize & multi-task)
  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Ability to identify problems and solutions; Identifies red flags, knows when to elevate to management
  • Ability to work in high volume, deadline driven, sometimes high pressure environment
  • Ability to manage and resolve conflict; displays good judgement and decision making
  • Ability to follow instructions, policies, procedures
  • Enthusiastic, innovative, and creative
