Job Description:

  • The Enterprise Project Manager II is responsible for planning, documenting, and coordinating projects of varying size from initiation to delivery.
  • They will have enhanced project management skills with deeper industry knowledge through education and experience.
  • These skills include, but are not limited to, developing, and managing scope, schedule, budget, resources, and risks.
  • The individual must also effectively lead the project team, coordinate the work, and collaborate with stakeholders.
  • They must address project-related issues, help the organization realize benefits from the project and function as a change agent.
  • This role requires the individual to change at the required pace to meet project needs, show persistence and consistency in actions, and make timely decisions based on fact while managing ambiguity.
  • A project manager at this level is given medium to large cross-functional strategic projects to manage on their own.

Reporting Structure and Work Setting:

  • The Enterprise Project Manager II reports to a Sr. Manager, EPMO or Director position.
  • This position also collaborates with senior executives and key business stakeholders.

Essential Duties and Primary Responsibilities:

  • Develops project charter that includes specifications and objectives from initiation to delivery for medium and large projects.
  • This entails interfacing with organizational leaders to define scope to meet objectives, develop project schedules, and develop resource requirements.
  • Drives project progress throughout the life cycle of the project in addition to preparing, maintaining, and updating project plans, agendas, and systems set-up for projects.
  • This includes determining project steps, activities, sequence of events, dependencies, and the duration of tasks by engaging various levels of the organization and subject matter experts. On a regular basis, updates the project plan and provides to project leadership.
  • Prepares and delivers regular executive level updates.
  • Requires being well-versed in all aspects of the project and delivers updates with confidence.
  • Absorbs information to become well versed on the business needs, considering the processes and services available and able to synthesize and position this information in a meaningful way to the team.
  • Identifies appropriate resources needed, ensuring availability necessary for project deliverables.
  • Manages resource needs and tasks within respective departments, other internal departments, outside service providers.
  • This may include collaboration with functional department managers to assemble project teams.
  • Focus and ownership on all project matters. Assigns and documents project responsibilities ensuring that activity, integration, and productivity are employed in the most efficient manner while meeting project targets.
  • Serves as a point of contact to routinely keep stakeholders apprised of the project’s status and respond to questions or inquiries regarding the project.
  • Maintains open communications and relationships with the project team, coordinating and conducting meetings as appropriate.
  • Conducts risk assessment of strategic, technical, financial, or business factors affecting the project.
  • Monitors project deliverables and progress through the duration of the project plan, managing deviations as appropriate, including project scope.
  • Identifies factors jeopardizing the project and escalates issues as appropriate, recommending solutions to senior project team members and leaders.
  • Conducts post project reviews with participation and guidance from management team to capture learnings and identify areas for future improvement and updates to project and program methodology.
  • Ability to partner and drive vendor relations as it relates to projects.

Key Skills:

  • PMP certified
  • Experience leading projects balancing technology and business processes
  • Experience leading Finance projects (Order to cash functional area)
  • Experience providing guidance, insight and solution recommendations
  • Experience driving cross-functional group discussions and decisions
  • Experience resolving project stakeholder conflict
  • Experience understanding details and explaining concepts to various levels of the organization
  • Experience creating and delivering presentations to all levels of the organization which includes the HQY Executive Leadership Team
  • Ability to work 40 hours per week (OT as needed with approval)

Qualifications: Education and Experience:

  • A minimum of 5 years of related experience with a bachelor’s degree or equivalent experience.
  • Knowledge of and familiarity with the benefits industry is preferred.
  • Proven experience managing project teams spanning multiple business functions.
  • Strong execution skills as demonstrated by successful experience overcoming project obstacles including implementing risk mitigation and contingencies.
  • Ability to manage expectations and collaborate with executive sponsors and steering committee members.
  • Strong leadership that will enable Client to achieve project success.
  • Ability to build, lead and develop project teams.
  • Proficiency with business and communications software (preferably Word, Excel, PowerPoint, common Windows operating systems, and Outlook) is required.
  • Firsthand knowledge of project management tools is also required with Workfront knowledge preferred.
  • Strong meeting management and facilitation skills (both virtually and in person).

Physical/Mental Requirements and Demands:

  • Work requires normal range of hearing, vision, and verbal communication skills, with or without a reasonable accommodation.
  • Must be able to use a telephone or headset equipment and operate a keyboard and other office equipment, with or without reasonable accommodation.
  • Must be able to spend prolonged periods of each workday on the phone.
  • The ability to perform work at a computer station for 6-8+ hours a day and function in an environment with frequent interruptions is required.
  • At times, subject to sitting for prolonged periods.
  • May experience elevated levels of stress during periods of increased activity and with work entailing multiple deadlines.

Travel Requirements and Conditions:

  • Occasional travel to attend training or meetings may be required.
