Job Overview**

As a Coordinator II you will be responsible for the overall support of the Fair Trade USA program across all operational aspects including new business development, client and audit project management, project scoping and budgeting, audit planning and coordination, travel logistics coordination, quality assurance, and auditor resource management. In this position you will provide client relationship management to support program customer retention and new business goals. Other responsibilities include managing daily communications in English and Spanish with clients, SCS program personnel and contract auditors. **

**Essential Duties & Responsibilities

**_Audit Project Coordination

_ - Prepare work orders and invoices for clients. - Schedule and coordinate new and annual audits. - Manage auditor schedules, workloads, and travel budgets. - Track audit project milestones and deadlines - Carry out travel booking and logistical arrangements, as needed. - Interface with technical staff and auditors to ensure timely service delivery. - Review and track vendor invoices for accuracy and payment processing.

_Client Support and Communication

_ - Provide exemplary customer service in response to requests and inquiries. - Serve as main point of contact for clients going through the certification process as well as certified clients. - Provide information to clients regarding the certification process and relevant requirements. - Ensure project milestones and deadlines are established and clearly understood by clients, staff, and contract auditors. - Manage daily email and telephone/Teams/Zoom communications in English and Spanish with clients, SCS program personnel and contract auditors. - Support the program through client relationship management within a team environment.

_Operations

_ - Maintain documents, records, and project tracking in compliance with SCS quality management systems and the rules of the relevant certification scheme, where applicable. - Ensure that all required audit documentation is complete. - Develop, translate, and edit program materials, communication templates, and report templates. - Support development of training programs and related materials for auditors. - Support development of operational efficiencies.

_Special Projects

_ - Collaborate on special projects as assigned (examples may include updating communication templates,

audit toolkit templates, standardizing, etc.) **

Minimum Qualifications**

  • Fluency in English; fluency or high-level proficiency in Spanish
  • Fluency or high-level proficiency in Portuguese and/or French is a plus
  • Work experience that involves professional written communication
  • Strong customer service and teamwork orientation
  • Initiative, good judgment, and problem-solving skills
  • Strong time-management, organizational and prioritization skills
  • Ability to work independently with minimal supervision
  • Proficient with Microsoft Office including Microsoft Word and Excel, Outlook, and Power Point
  • Understanding of food labeling programs and third-party certification initiatives

Preferred Qualifications

  • Bachelor’s degree in a related field (Sustainability, Agricultural or Food Systems, Environmental Studies, etc.)
  • 1+ years’ experience in project management or administration
  • Experience in the food/ag industry preferred
  • Experience with data management or database software

Physical Requirements

  • Office work both onsite (facility walk-throughs) at clients and remotely (home office)
  • Sit 6+ hours per day.
  • Keyboarding 6+ hours per day.
  • Must be able to speak and listen in person and on the phone.

Working Remotely**

Estimated Hourly Salary**

$24.00-$27.00 **
