Job description

Role Summary

Our client is looking for an Admin Coordinator to join their growing team. This role will perform various administrative tasks, such as email management, events support, front desk duties, managing calendars, and completing checklists.

WORK SCHEDULE: 9:00 AM – 6:00 PM Central Standard Time (11:00 PM – 8:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Complete the Basic Initial Audio Training and Administrative Office checklist
  • Perform the following unilateral staff daily duties:
    • Answer phone extension and field calls properly
    • Complete all inbox/inbox folder tasks received before 4 PM local time and turn in
    • Complete the time-off protocol for approved time off as necessary
    • Finalize preparation for any worship experiences or events
    • Respond to all emails (including checking junk/spam emails) using template emails as necessary per the Brand Guide and voicemails received before 4 PM local time and email verification of completion to upline
    • Update all passwords and codes as necessary ensuring door, church-owned laptop, and church-owned device codes
    • Match and update the vendor password list with non-classified (non-role specific) passwords
  • Perform the following role-specific daily duties:
    • Coordinate and manage campus event rentals and respond to each rental inquiry with the event response email
    • Check in guests by retrieving their photo ID and providing them with a campus visitor badge
    • Add guests to iCal along with their reason for being on campus for the expected duration of their visit
    • Exchange the visitors’ badge for their photo ID when they check out
  • Ensure campus facilities are unlocked and open proper rooms at the designated time per the administrative office prep and event/experience prep checklist
  • Pick up, prepare by unsealing, and route incoming mail and packages to the proper parties/areas and notify them via email of what arrived and where they are placed
  • Prepare the Bishop’s office following the Eagle’s Nest Checklist per the calendar
  • Prepare direct upline meeting rooms for scheduled on-campus meetings as necessary
  • Audit the Dream Team Meeting Agenda for NCNS servants and reference for specific steps after worship experiences, events, and Dream Team parties, and submit audit results to upline for directives
  • Complete the AOC agenda
  • Complete and submit the Worship Experience Flow and Elements Checklist to upline for review and approval
  • Submit time to upline for review by 1 PM MDT during every A/P week via email
  • Print Baptism and Child Dedication certificates and present them to be signed by Bishop Foreman
  • Email parties that signed certificates are available for pick up in the Harvest Store
  • Audit to ensure that campus facilities are excellent per the Cleaning Audit Checklist and remedy as necessary
  • Complete the Calendar Audit checklist
  • Ensure all aspects of all worship experiences and events are running timely, efficiently, and with excellence according to the approved flows
Qualifications

  • A Bachelor’s degree in the related field
  • Strong computer aptitude, which includes expertise with Microsoft 365 applications
  • Experience in a multi-client environment
  • Excellence, efficiency, and evolving continually are essential to succeed in this role
  • Strong organization, oral and written communication skills
  • Analytical skills with particular attention to detail
  • Ability to function in an autonomous environment—independent worker, self-directed
