For this role, our client in pursuit of a seasoned Administrative Assistant who will be responsible for managing essential administrative tasks, overseeing vendor communications, and handling budgets and invoicing. The ideal candidate will have experience in a creative or agency environment, demonstrate exceptional organizational and communication skills, and possess a proactive, solution-oriented mindset. This is a full time position during Eastern Standard Time from 10AM - 7PM.
The following Job-related experience is required for potential candidates for this role:
- Must have at least a year of experience as an Administrative Assistant, or similar role.
- Must have experience in an agency or creative environment is essential.
- Must be proficient in budgeting, vendor management, and administrative tools.
- Must be familiar with social media platforms and basic management practices.
- Must have the ability to handle high-stakes projects and financial information with discretion and professionalism.
- Must be proactive and resourceful, with a collaborative and adaptable mindset.
- Must be trustworthy and reliable, capable of working in a fast-paced, dynamic environment.
Your responsibilities will include but are not limited to the following:
- Manage day-to-day administrative tasks, including invoicing, scheduling, and vendor communications.
- Track project expenses and budgets, ensuring accuracy and confidentiality.
- Provide financial clarity to aid decision-making processes.
- Handle sensitive financial information with discretion and professionalism.
- Assist in assembling and managing project-specific teams, including animators, illustrators, and other creative contractors.
- Oversee vendor negotiations and ensure seamless communication while maintaining positive team optics.
- Coordinate with vendors to ensure timely delivery of services and maintain productive relationships.
- Proactively identify and implement process improvements to enhance efficiency in agency workflows.
- Support social media management and related tasks as needed.

uccessful candidates for this role will be rewarded with the following benefits and compensation:A
- total of five paid vacation days per year (additional days can be taken unpaid).A
- 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).A
- paid 15-minute break for every 4 hours of work.F

- ompensation range: $3.00 - $5.00 per hour.
