PROJECT PLANNING & CONTROL ANALYST / VENDOR COORDINATOR

BACKGROUND: The GP Finance organization comprises three (3) pillars. The Finance Management Office (FMO) has the primary responsibility for GL income statement, forecast, budgets, audit, and the back office support of the project subledger. The Project Finance Office (PFO) is aligned with Service Delivery and aids PMs in project initiation, project costs (receipts and adjustments), invoicing, and project analysis. Finally, the Finance Service Center (FSC) is mainly responsible for project/contract setup and customer invoicing.

SUMMARY: An Exciting opportunity has arisen to join our Team as Vendor Coordinator you will be responsible for the vendor management activities and accountabilities in the Training Services Sector. You will work closely along with the GP stakeholders, Vendor management team and Finance team for discharging your daily routine responsibilities and will report directly to the Team Lead. Representing both GP Strategies and our client’s best interests and delivering a high-quality service at a price that exceeds their expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Other duties may be assigned by Management.

  • Responsible for maintaining relationships across global suppliers in order resolve all queries of vendors which some includes (Activation of Vendor in system, Invoice related queries, Payment related queries, Bespoken rate etc…)
  • Primary point of contact for SOW Creations, Purchase order creations & amendments by increasing or decreasing the cost (Change order).
  • Creating Purchase Justification Forms to submit Purchase Requisitions.
  • Review and approve Project Purchase Requisitions.
  • Initiate project setup process using the Project Costing Form/App and review setup for accuracy and Project modifications.
  • Validating Vendor Invoice (including T&E) & Receipting of subcontractor cost in line with period of performance.
  • Ensure the payment for the suppliers are done as per the payment terms. In case of discrepancy following with supplier and finance team for early clearance.
  • Review and resolve issues of draft invoices before customer submission.
  • Approving GP invoices to client.
  • Reconciling variances between purchase receipting completed and missing invoices or invoices submitted with different values.
  • Resolve any Earned But unbilled invoices of GP and clear Backlog items.
  • Manage project reconciliation and close procedure.

Requirements

  • Good standard of education or equivalent experience
  • Proven experience in project-level finances
  • General administration and good IT skills, in particular, MS Excel
  • Strong analytical and data reporting skills
  • Attention to detail
  • Proven teamwork experience
  • Effective communication skills
  • Working knowledge of English

  • Recognized Project Management or Finance Qualification
