Job Title: Administrative Assistant

Full-Time

Mondays to Fridays 9am to 6pm Brisbane Time

As part of their growth, they are seeking an Administrative Assistant to join their supportive and collaborative team.

About The Role

In this role, you will be an integral part of the daily operations, ensuring the smooth and efficient allocation of incoming jobs and administrative tasks. You will primarily focus on managing and assigning jobs through ServiceM8, assisting the Project Manager and Director with drafting professional quotes and correspondence and supporting the Bookkeeper by preparing completed works for invoicing.

Experience with ServiceM8 is highly desirable but not essential, as training will be provided for the right candidate.

Key Responsibilities

  • Allocate incoming jobs into ServiceM8.
  • Assist in drafting accurate quotes and clear, professional emails.
  • Support the Bookkeeper by preparing and forwarding completed jobs for invoicing.
  • Work closely with the Project Manager and Director to maintain workflow efficiency and accuracy.

The successful candidate will have excellent organizational and communication skills, along with the ability to manage competing priorities effectively. You are detail-oriented, reliable, and eager to learn and grow within a professional environment.

Skills And Experience

  • Experience with ServiceM8 (preferred, but not essential – training provided).
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Basic knowledge of invoicing and quoting processes.
  • Ability to work both independently and as part of a collaborative team.
