About the Role 

This role requires a highly organized and versatile professional to support multiple people-facing functions. In this role, you will provide comprehensive executive support to all executive team members (except the CEO) while also ensuring efficient in-office operations.  You will manage executive calendars, coordinate meetings, and handle confidential communications. Additionally, you will oversee general office maintenance and in-office events. This role will require exceptional organizational skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment. This role is based out of SonderMind’s downtown Denver office.

What you will do

Executive Support

Support all Executive Team members (excluding the CEO), including calendar management, meeting coordination, and travel arrangements.

  • Schedule and manage appointments, meetings, and events for executives.
  • Coordinate and confirm meeting arrangements, ensuring all necessary logistics are in place.
  • Ensure meeting rooms are set up and equipped with necessary technology and supplies.
  • Plan and book travel itineraries, including flights, accommodations, and transportation.
  • Handle confidential communications and sensitive information with discretion.
  • Serving as the main point of contact for internal and external communication, often handling phone calls, correspondence, and inquiries.
  • Support of executive off-site sand regular company meetings, including Shift (SonderMind’s Annual Company get-together), as needed. 

Office Management

Manage office operations, ensuring a well-organized, efficient, and professional environment within an approved budget.

  • Manage all office vendor operations and relationships, including janitorial, security, building management, parking, and others as required.  
  • Responsible for supervising the maintenance of all workplace-related equipment & supplies to support daily operations (kitchen appliances, furniture, office supplies, ingoing/outgoing mail, etc.) 
  • Manage in-office engagement events and programs, including the onsite execution of monthly All-Hands in coordination with IT.
  • Serve as the primary point of contact for office-related inquiries and issues.
  • Other ad-hoc responsibilities from time to time, based on business needs. 
Who you are
  • Proven experience as an executive assistant, office manager, or in a similar administrative role.
  • Familiarity with recruitment processes and HR practices is a plus.
  • Exceptional organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in office software (e.g., MS Office, Google Workspace).
  • Ability to handle confidential information with discretion.
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.

The anticipated salary range for this role will be $88,000-110,000 per year.
