Right now, we’re looking for a People Operations Generalist to join our team who shares our passion for forward-thinking and innovative approaches.
This role is a 1 year fixed-term position for a family leave substitute.
Our People team is responsible for looking after our workforce. That means everything from talent acquisition, engagement, and retention through to benefits administration and day-to-day human resources management.
At Aiven, we believe in taking very good care of our Cast of Crabs. So our focus additionally includes numerous tech and community events and ‘shell-ebrations’. What we do
Our small-but-mighty team of 6 wear many hats and have a broad range of responsibilities that span across the entire employee lifecycle. On any given day, a People Operations Generalist might:
- Provide front-line support: Be the go-to person for employee questions, manage inquiries from managers and People Partners, and guide people through our HR processes and programs. Act as the first point of contact for employee concerns and provide support throughout the employment lifecycle through our ticketing system.
- Manage core HR processes: This includes everything from preparing employment contracts to onboarding, relocating and offboarding employees. You do it all while ensuring compliance with local regulations.
- Drive process improvement: Participate in (or lead!) projects, streamline and automate our People operations, improve efficiency, and enhance the employee experience from start to finish.
- Implement policy and process: Implement HR policies and build our People knowledge base ensuring alignment with local labor laws and company global policies along the way.
- Be a systems expert: Configure and manage employee data across various platforms (HRIS, ATS, LMS, payroll, benefits, JIRA, etc.), deliver training, and support the implementation of new technologies.
- Analyze and report on people data: Create dashboards and reports to track key metrics and provide insights to the team or to our business.
- Support payroll administration: Assist with payroll preparation to ensure employees are paid accurately and on time, and internal and external stakeholders in the case of audits
- Manage employee benefit programs: Maintain our benefit systems, reconcile data, and administer time off.
- Ensure compliance: Stay up-to-date on relevant labor laws and regulations, and ensure our practices are compliant.
What we look for

- People Operations Experience: Three to five years of prior experience in a People Operations or related HR role, ideally with a focus on process improvement and introducing efficiency-driven solutions.
- Education: Ideally bachelor’s degree or equivalent in Human Resources, Business Administration, or a related field.
- Process-driven and collaborative: You thrive in an unstructured environment and enjoy working both independently and as part of a team.
- Attention to Details: Ability to maintain accurate records and employee data in alignment with GDPR.
- Professional Confidentiality: Ability to handle sensitive issues discreetly and professionally.
- Adaptable and resourceful: You can navigate ambiguity, handle change effectively, and exercise sound judgment in complex situations.
- Strategic thinker: You can see the big picture and understand how different parts of the business connect.
- Tech-savvy: You're comfortable with HR systems (Familiarity with Hibob, Greenhouse, and Workramp are a plus!) and actively embrace emerging technology (such as AI) to improve your efficiency.
- Excellent communicator: You can communicate clearly and effectively, both verbally and in writing, with a focus on diplomacy and tact.
- Multilingual: Fluency in English is essential, and proficiency in another language (Spanish, Italian, French, Finnish, Swedish, German, or Hebrew) is a plus.
