Job description

Job Summary: The Mentoring BCBA is responsible for overseeing the clinical quality and professional development of CCBS clinicians. This role is integral to maintaining high standards of care, compliance, and client satisfaction. The Mentoring BCBA will mentor and train clinicians at all levels including BT, RBT, mid-level supervisors and BCBAs, with a focus on utilizing Behavioral Skills Training (BST) and self-monitoring strategies. Additionally, the role includes ensuring clinical documentation is timely and accurate. The Mentoring BCBA acts as a liaison between clinicians, administrative teams, and funding sources. This position also plays a crucial role in supporting staff retention through regular feedback and professional development opportunities.

Direct Reports: BCBAs, Mid-Level Supervisors, RBTs, BTs

Key Responsibilities

  • Mentorship and Professional Development:
    • Provide mentoring and training to clinicians at all levels across various clinical categories as they relate to each position’s job duties.
    • Utilize evidence-based practices such as BST and self-monitoring techniques to enhance clinician skills.
    • Deliver 1:1 and group professional development sessions in-line with up-to-date best practices in behavior analysis.
    • Facilitate 90-day and annual reviews for clinicians on your assigned roster – we refer to them as your pod
    • Ensure high clinical quality across CCBS clinicians through replicable trainings, consistent expectations and ongoing mastery of goals by clinicians as they relate to their position, duties and client outcomes.
  • Coaching and Performance Improvement:
    • Coach clinicians as needed to enhance performance.
    • Provide Performance Improvement Plans (PIPs) to meet specified goals within set timelines.
  • Clinical Documentation and Compliance:
    • Oversee clinical documentation to ensure it is on time and in compliance with CCBS and funder policies, including appointments, session conversions, insurance billing and medical notes.
  • Report Compliance:
    • Ensure all reports comply with due dates, standards, and quality outcomes.
  • Caseload Management:
    • Ensure clinician caseloads are balanced, accurate, and meet capacity requirements.
    • Take swift action within guidelines in case of cancellations or underutilization of quality treatment standards
  • Client Satisfaction and Feedback:
    • Maintain a strong connection with clients within your pod, ensuring their access to treatment and progress.
    • Regularly check in with clients to solicit feedback and address any concerns promptly.
    • De-escalate client issues and review client feedback to ensure satisfaction.
    • Ensure distribution and review of client satisfaction surveys.
  • Liaison Responsibilities:
    • Act as a liaison with CCBS, funding sources, and administrative teams to foster positive relationships and address any issues.
    • Ensure clinicians adhere to policies across all environments including clinics.
    • Collaborate with the clinical and scheduling teams to address escalated issues such as cancellations and no-shows.
    • Ensure clinic capacity is maintained through collaboration with scheduling, administrative and clinical teams.
    • Escalate any relevant issues to the Executive team immediately and as needed.
  • Regulatory and Compliance Updates:
    • Stay informed about funding source updates and California laws affecting ABA services and disseminate necessary information to the team.
  • Other duties as assigned.

Qualifications:

  • Board Certified Behavior Analyst (BCBA) certification.
  • Extensive experience in ABA therapy and clinical supervision.
  • Proficiency in Behavioral Skills Training (BST) and self-monitoring strategies.
  • Strong leadership, communication, and mentoring skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • In-depth knowledge of compliance standards, funding source policies, and relevant regulations.
  • Commitment to high-quality client care and professional development.
