Who we are:

Shine Early Learning partners with states and local communities to accelerate child and family outcomes by providing professional development and other supports. Since its founding in 2011, Shine Early Learning has partnered with cities, states, and programs across the U.S. serving hundreds of thousands of students, families, and educators. Shine Early Learning’s experts have decades of experience in early child care education, training, and technical assistance.  Montana selected Shine Early Learning as the state’s new regulatory and quality technical assistance services vendor.

The Montana based project, named SPARK Learning Lab Montana (SPARK), provides regulatory and quality technical assistance to child care programs and professionals across the state. We provide technical assistance and training with a focus on building relationships, using a practice-based model that includes self-directed, group, and one-on-one learning. We are seeking professionals who are eager to make a meaningful impact on the lives of young children by supporting quality improvement efforts for the child care providers who serve them.  We are building a local, Montana based team of leaders, technical assistance staff, and other specialists, working across the state to ensure continued regional and community knowledge and engagement.

Job Summary

The Data Services Coordinator is focused on supporting data management, documentation, and foundational Salesforce support to ensure data accuracy, accessibility, and quality across multiple projects. This position requires strong organizational skills, attention to detail, and a commitment to maintaining data integrity, with an emphasis on collaborative support for the Solutions and Impact teams. The Coordinator will assist in the management and organization of data from both internal and external data systems, help maintain documentation standards, and contribute to the accurate collection and reporting of data to support project objectives. Residing in the state of Montana is a requirement.  

Essential Duties & Responsibilities:

  • Data Management:

    • Manage and organize data from multiple systems and databases to support project needs

    • Assist in maintaining data standards and definitions to ensure consistency across projects

    • Collaborate with the Solutions and Impact team to ensure data is accessible and organized in a way that supports reporting and analysis functions

  • Documentation & Process Management

    • Update and contribute to the creation of documentation for data standards, governance policies, and project-specific practices

    • Maintain accurate records of data definitions, data dictionaries, and procedural documentation

    • Assist in creating instructional materials for data entry in Salesforce and data management processes, ensuring team alignment on data practices

  • Data Collection Oversight:

    • Support and monitor staff data collection efforts to ensure accuracy, completeness, and adherence to established timeframes

    • Ensure all data collection activities align with departmental standards and contribute to overall data integrity

  • Stakeholder & Subject Matter Expert Collaboration:

    • Work cross-functionally to ensure data documentation reflects current project needs and best practices

    • Engage with project teams to understand data requirements, aligning data practices with programmatic objectives and standards

    • Participate in team meetings to contribute to data-related project goals and gather insights into evolving data needs

  • Salesforce Support:

    • Assist in maintaining data quality within Salesforce, ensuring that entries are accurate, up-to-date, and aligned with project standards

    • Provide support for foundational Salesforce tasks, such as provisioning users, updating records, and running pre-configured reports

    • Collaborate with cross-project team members to identify and troubleshoot simple data issues within Salesforce

    • Maintain and update Salesforce documentation to support standard operating procedures and team training efforts

  • Basic Data Reporting Support:

    • Assist in generating simple data quality reports for internal stakeholders, providing clear and concise information on data availability and usage

    • Support the Solutions and Impact team with data organization for reporting, helping to streamline data access for ongoing projects

    • Collect relevant data, compile and share monthly, quarterly and annual reports for the project 

    • Design, distribute, and manage surveys using SurveyMonkey, ensuring data is collected efficiently and accurately for analysis and reporting

  • Participates in assigned meetings, events and training as required

Job Requirements:

  • Bachelor's degree in Business Management, Information Systems, Administration, Data Analytics or related field required.  

  • Basic to intermediate proficiency with data management systems, databases, and Microsoft Excel; Salesforce experience preferred.

  • Strong attention to detail with the ability to ensure accuracy and completeness of data entries and documentation.

  • Minimum of 1 year of experience managing data from multiple systems required.

  • Strong written and verbal communication skills for collaborating with cross-functional teams and creating clear documentation.

  • Background checks are required for this position. 

  • Must reside in the state of Montana

  • Must have a valid driver’s license and reliable transportation 

  • Must have reliable internet access

Salary range: $47,258 - $59,073 annually
