Position Summary
The Essential Workforce Health Care Trust (EWHT) is seeking a detail-oriented and proactive Operations Specialist to join our team. This role is integral to maintaining the efficiency and accuracy of membership data, providing technical and administrative support to employers, and ensuring the smooth implementation and management of program operations. The ideal candidate will have a strong background in data management, process improvement, and stakeholder collaboration.
Essential Functions
- Membership and employer support
- Conduct membership audits with each employer on a quarterly basis, ensuring audits are staggered to cover a different employer each month
- Generate and distribute membership reports, as needed
- Lead data mapping initiatives with employers to establish accurate and efficient data flows; serve as the primary liaison with RISE Information Systems (IS) for setup and escalation of technical issues
- Support employers in generating and reviewing monthly dependent verification reports, ensuring compliance with program policies
- Reporting and compliance
- Monitor and manage over-age dependent reports and provide necessary support to employers in addressing coverage transitions
- Collaborate with employers to address and resolve operational pain points, such as exploring and implementing technology solutions to enhance processes
- Documentation and program maintenance
- Regularly update the EWHT Employer Manual to reflect policy changes, procedural updates, and new employer resources
- Maintain and improve the EWHT Program Manual, ensuring it remains a comprehensive and user-friendly reference for internal stakeholders
- Stakeholder collaboration
- Act as a key point of contact for employers, fostering strong relationships through consistent communication, training, and troubleshooting support
- Partner with internal teams, including RISE IS and program leadership, to address and resolve operational challenges
- Other duties as assigned
Working Conditions - Hybrid in or near Portland, OR (Flexible Work from Home Model)
- Requires occasional lifting and exertion for short periods
- Readiness to work occasional long hours, weekends
- Able to travel between worksites and/or meeting locations within the state
Supervisory Responsibilities
This position is not responsible for supervising other staff members.
Qualifications
Knowledge, Skills and Experience
- 3+ years of experience in operations, data management, or a related administrative role, preferably in healthcare or benefits administration
- Strong analytical skills with the ability to manage and audit membership and enrollment data for accuracy and compliance
- Proficiency in data mapping and experience working with Information Systems (IS) teams to implement and support technology solutions
- Excellent written and verbal communication skills, with the ability to convey complex information clearly to diverse audiences
- Strong organizational skills with the ability to manage multiple projects, deadlines, and stakeholders simultaneously
- Familiarity with health plan administration
- Proficiency in relevant software tools (e.g., Microsoft Excel, project management software, and CRM systems)
- Demonstrated experience operating in a changing environment
- Experience working with multiemployer trusts or labor-management partnerships is highly desirable
- Ability to work well under tight deadlines and in a team environment
