The Associate Program Manager supports day-to-day project management responsibilities and execution of programs from initiation to completion. The Associate Program Manager will assist with logistical tasks and oversee project timelines to ensure that deliverables are being met. This is a position that may involve secondary client contact and assists in all aspects of project management under the guidance of a Manager or Director.
As an Associate Program Manager at Red Nucleus you will, support all facets of Project Management team including but not limited to:
- Assists with tracking projects from implementation to execution stages
- With oversight from project lead, creates timelines for development of projects. Balances agency/client needs and consults appropriate team members for input/approvals of proposed timing scenarios.
- Updates timelines and status documents for agency and client as needed
- Performs administrative oversight of all projects
- Maintains and archives clean historical record of project workflow
- Schedules and assists project leads in facilitating internal status meetings and reviews
- Keeps teams informed of all project status and next steps via daily status documents and planned or ad-hoc meetings
- Develops strong and positive working relationships with project leads while maintaining adherence to objectives, process, and timelines
- Assists in developing program materials for live events (advisory boards, corporate receptions, speaker training programs, symposia, booth management) such as invitations, logistical communication emails/letters, advisor bios, onsite materials, etc.
- Work as part of a fast paced team in the pharmaceutical industry and the ability to think “big picture” while understanding the Red Nucleus philosophy of “white glove” service.
- Support project lead in managing logistics for live programs including hotels, ground transportation, Air travel, meeting materials, audio visual, etc.
- Liaise with outside vendors and strategic partners as needed
- Travel to meetings as needed (15-20%) with overnight and weekend programs
- Demonstrate knowledge and ensure adherence to internal processes, PhRMA, ACCME, OIG, and HCC guidelines
About you
- Bachelor degree required – Communications, Advertising, Marketing, event planning or related field
- 1-3 years of medical education/advertising/marketing/event planning experience required
- Proactive and driven to learn and share own expertise to contribute to team access
- Established and demonstrated presentation, organization, ownership, time management, communication, attention to detail, and customer focus
- Experience in partnering, negotiation and problem-solving skills
- Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint
- Proven organizational and timeline prioritization skills; scheduling flexibility to accommodate work volumes and the ability to manage multiple assignments
- Must be a self-starter with the ability to work independently or as part of a team, whenever appropriate
- Individual will be working remotely initially but should be residing in the NJ Tri-state area in close proximity to a planned central NJ office which will be the permanent work location on a daily basis
- Ability to travel to meetings as needed (10-15%) with overnight and weekend programs
