Position Summary
Coordinates Clinical trials budget and billings programs. Reviews clinical trial protocols to determine the cost of executing the protocol. Using established parameters negotiates budgets with vendors. Coordinates with numerous departments to establish study specific support plans and to determine the cost. Serves as the single point of contact to facilitate data sharing between the University and Hospital billing matrix, a process for determining standard of care vs research funded patient billing. Sets up billing plans for each study and guides the billing/budget assistant in their work.
Job Description
Primary Duties & Responsibilities:
- Performs review of new protocols, amendments and Investigator initiated concept studies to identify study requirements.
- Organizes into a schema and identifies procedures required by the study.
- Identifies and differentiates between Standard of Care (SOC) vs Research (R) procedures for PI approval.
- Distributes pertinent information to PI, pharmacy, nursing, lab, imaging and other departments as required to ensure schema accurately depicts the requirements of each contributor.
- Establishes costs of each procedure and prepares a budget.
- Negotiates fees for new procedures as needed.
- Monitors fee schedule and recommends modifications as needed.
- Coordinates with research regulatory staff to ensure each study’s consent form clearly identifies what procedures will be paid by the study and which procedures will be billed by insurance (SOC vs R).
- Reviews sponsor’s budgetary proposal and initiates contract negotiations.
- Identifies discrepancies and prepares sponsor for WU proposals exceeding sponsor’s offer.
- Confirms SOC vs R procedures.
- Maintains regular contact with sponsor and facilitates inclusion of the budget into the formal Clinical trials agreement through regular contact with contracting staff in the Center for Clinical Studies.
- Conducts a line-by-line review of all final Clinical trial agreements to ensure final contracts accurately reflect the agreements.
- Prepares an individual study plan to assist the study coordinators in completing study procedures and to ensure that supporting departments’ charges for study services are appropriately captured and billed to the study.
- Based on the Clinical trial agreement and budget, establishing a billing plan for each project, determines billing milestones and initiates the billing process.
- Monitors the work of the billing assistant ensuring that billing and collection activities ae in accordance with established plan, track accounts receivables and aging.
- Oversees the department’s participation in university/hospital research billing compliance program.
- Reports each study’s standard of care/ research procedure determination.
- Reports enrollments and completion of clinical trial participation.
- Serves as POC to trouble shoot compliance problems and questions.
- Cross-covers for Senior Accounting Assistant and Billing Coordinator during vacations.
- Performs other duties as assigned.

Salary Range
$49,700.00 - $82,100.00 / Annually
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
