This is a remote position.

Hours: 20 hours per week (flexible during client business hours)

Job Overview:
The client is seeking a detail-oriented and tech-savvy   Executive Assistant   to join our team. This role is pivotal in ensuring our operations are audit-ready, managing data with precision, and helping clients bring their visionary projects to life. If you are highly organized, proficient in technology, and capable of managing multiple tasks across various companies, we want to hear from you.



Key Responsibilities:
Audit Preparation:
  • Organize and maintain digital files in Google Drive to ensure all documentation is audit-ready.
  • Regularly sort, update, and manage files for multiple companies to ensure compliance and accessibility.
Data Management:
  • Segment and organize data from spreadsheets into Mailchimp for targeted marketing campaigns.
  • Extract and tag data from Shiftcare (CRM) in Mailchimp for personalized communications such as birthday messages and handwritten cards.
Client Vision Implementation:
  • Collaborate with clients to understand their visionary ideas and assist in bringing them to life.
  • Manage projects like creating and managing Facebook events, designing templates, and more.
  • Conduct research on tech packs, graphic design tools, and project management applications to support client initiatives.
Social Media Management:
  • Create minimal graphic designs using Canva for social media pages.
  • Support the creation and scheduling of social media posts as needed.


Desired Skills and Experience:
Technical Proficiency:
  • Proficient in Asana for project management.
  • Experienced with Shiftcare (CRM) for data extraction and management.
  • Skilled in Mailchimp for email marketing and segmentation.
  • Familiarity with Meta (Facebook) for creating and managing events.
  • Comfortable using WhatsApp and Gmail for communication.
  • Experience with Xero is advantageous but not essential.
Organizational Skills:
  • Strong organizational skills with a sharp eye for detail.
  • Ability to handle multiple projects and prioritize tasks across various companies.
Social Media and Design Skills:
  • Proficiency in Canva for creating simple yet effective graphic designs.
Additional Experience:
  • Prior experience in the NDIS sector is highly desirable but not mandatory.
