This is a remote position.

Job Description: Internship Program Administrator

Work Schedule:  Monday to Friday, 10 am to 7pm  Brisbane Time (8:00 AM to 5:00 PM Manila Time) with 1 hour unpaid lunch

Position Overview

The Internship Program Administrator reports directly to the Programs Manager and is responsible for end-to-end case management and ongoing supervision/mentoring for all interns within the allocated portfolio. This role requires maintaining strong relationships with both internal teams and external partners to ensure the successful execution of internship programs.

  • Perform end-to-end case management and ongoing supervision/mentoring for all interns.
  • Maintain strong client relationships.

Key Responsibilities
Intern Management
  1. Maintain contact with all interns throughout their internships.
  2. Ensure interns are updated on all aspects of their programs before arrival in Australia or commencement.
  3. Conduct interviews, review application videos, and provide feedback and mentoring.
  4. Conduct orientation presentations for the company partners.
  5. Guide the Services team on visa application documentation.
  6. Assist with booking and confirmation of client accommodation, airport pickup, and additional services.
  7. Provide high-level support, mentoring, supervision, and routine feedback to interns.
  8. Facilitate effective communication between interns and Host Organizations.
  9. Ensure internships are meaningful learning experiences.
  10. Monitor and evaluate intern progress and provide frequent feedback.
  11. Facilitate dialogue between interns and supervisors as needed.
  12. Counsel and mentor interns to overcome social or behavioral challenges.
  13. Assist interns in developing skills like organization, time management, and effective work habits.
  14. Help interns set realistic career goals and develop plans to achieve them.
Relationship and People Management
  1. Foster a positive and harmonious workplace environment.
  2. Work effectively as a team member, prioritize tasks, meet deadlines, and maintain administrative efficiency.
  3. Establish rapport with clients, liaise, and negotiate with a wide range of customers.
  4. Demonstrate personal motivation, initiative, and problem-solving skills.
  5. Maintain equitable and non-discriminatory work practices.
  6. Manage grievances and general people issues.
Performance Management
  • Ensure KPIs defined by the Programs Manager are met, including maintaining portfolio size, client satisfaction, low cancellation rates, high interview conversion rates, timely processing of training agreements, procedural compliance, and placement targets.
Continuous Improvement
  • Identify opportunities to improve efficiency and quality of processes, particularly related to service standards and people management.
