Job description

Title : Manager, Roster and Program Support

Employee Working Location : Partially Virtual / Hybrid (Canada)

Employment Status : Permanent Full-time

Salary Band : $71,000 - $88,000/ year

In this role, you will :

Responsibility 1: Roster Management for Social Emergencies

  • Develop and implement roster management processes and procedures to ensure the availability of trained and qualified personnel for social emergency responses and prevention education services across participating geographies.
  • Work with operations (national and geographic), service leads and People Services to identify roster targets and profiles needed to meet forecasted workforce requirements.
  • Engage and support rostered personnel with scheduling, deployment coordination, all onboarding and/or offboarding by ensuring all documentation is submitted, accurate, up-to-date and timely to facilitate seamless personnel experience.
  • Monitor and maintain accurate and up-to-date records of personnel, including their qualifications, certifications, availability, and deployment history.
  • Prepare reports and provide regular updates to leadership on roster status, availability of personnel, and any changes or challenges in roster management.

Responsibility 2: Program Monitoring

  • Coordinate the regular reporting requirements to permit the monitoring of social emergency programs and prevention education services.
  • Support effective team communication related to monitoring requirements including calendar updates, coordination calls, roster development, orientation and training monitoring, and system developments to improve efficiency.
  • Conduct project reviews and develop lessons observed/recommendations for future projects.

Responsibility 3: Program Reporting

  • Support social emergency with the development of dashboards and reporting templates for effective management monitoring.
  • Support team to meet responsibilities for monitoring and reporting requirements of project progress.
  • Report findings, progress, issues, risks, and any other important project information to the leadership team as they arise.

Responsibility 4: Program Administrative Support

  • Support Social Emergency program leadership with the coordination and documentation of meetings, facilitation of approvals, and document finalization as required.
  • Support Social Emergency program procurement processes including purchase requisitions, invoicing and other tasks as required.
  • Respond to general inquiries from management and employees regarding policies and procedures.

What we are looking for :

  • A three-year college diploma or university degree in a related field
  • 1-2 years of job-related work experience, or an equivalent combination of education and experience.
  • Previous supervisory or management experience and skills to prioritize, organize work, manage performance, resolve conflicts and engage team members.
  • Experience in supporting delivering projects that include development of program/function methodology including target workflows and process flows.
  • Demonstrated experience in developing tools and processes and providing technical support and quality assurance.
  • Strong familiarity with software programs such as Microsoft SharePoint, Dynamics CRM, SmartSheet and PowerBI, and Excel, publishing software such as Canva and power point.
  • Understanding of the Indigenous community context.
  • Ability to manage and maintain complex rosters and databases, accurate personnel records, qualifications, certifications, and availability.
  • Excellent English written and oral communication skills; fluency in French is an asset.
  • Ability to problem solve by using defined policies and innovative thinking.
  • Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
  • Demonstrated experience in leading and managing cross-functional and virtual teams.

Working Conditions :

  • This position will work remotely and/or from a home environment with possible requirement to travel to attend meetings/conferences and/or support operational needs and/or an emergency response domestically.
  • Occasional overtime, evening, or weekend work to meet project deadlines, support meetings/events or to meet an operational need.
  • May be deployed for 6 – 10 days into a remote community.
