Job description

Job Overview & Responsibilities:

The HR & Benefits Specialist assists the Human Resources team in achieving its mission and goals by providing administrative and project support within a fast-paced HR organization. In this key role, you will provide support for our HR processes and programs to include on-boarding, HR inbox, communications, recognition programs, corporate training and other duties as assigned. You will be responsible for supporting our benefit programs to include enrollment, billing, auditing, and other compliance related requirements. You will be maintaining sensitive employee data and information in our HRIS system, generating reports and auditing for accuracy of employee records. You will contribute to the overall success of the Human Resources team by providing a high level of customer service and quality administrative support throughout employee hiring, management, and exit processes while working effectively with HR team members, employees, managers, and candidates. 

Responsibilities and Essential Duties

Human Resources:

  • Provide first level response to the HR Inbox to respond to standard questions or requests; coordinate responses and/or disseminate more complex items to other HR team members. 
  • Drive the new hire onboarding process, to include identifying job codes, overseeing the completion of new hire paperwork, coordinating first day activities, training assignments, HRIS profile setup and conducting new hire orientation.
  • Handle general HRIS system administration support tasks, such as maintaining employee documentation and profile pictures.
  • Assist with reviewing and updating HRIS to ensure the most accurate and current information is available for employees.
  • Help develop efficiencies within HRIS, such as new reporting opportunities and integration options with our vendors.
  • Compile and validate information necessary for completion of the EEO/VETS 100 reports by required deadline.
  • Assist with the AAP data collection for submission to our AAP services provider.
  • Support the company’s recognition program, CrewSalute, to include generating reports, developing program activities/contests, making recommendations to improve program, and creating communications.
  • Complete verbal and written verification of employment requests.
  • Assist with documentation of employee status changes and exit letters.
  • Generate and publish various communications to include Healthy Harbor quarterly, Crew News monthly, The Lighthouse weekly, other communications as needed.
  • Track completion of mandatory employee trainings and contact employees to complete trainings as needed.
  • Attend staff meetings and conference calls.
  • Maintain current knowledge of HR regulations, industry trends and best practices.

Benefits:

  • Provide support to benefit administration tasks to include data entry, billing and auditing.
  • Develop and help maintain relationships with benefit carriers and broker/consulting firms.
  • Work with COBRA vendor to ensure all requirements are fulfilled and notices are delivered in compliance with regulations.
  • Assist with the annual benefits open enrollment process, including strategy planning meetings, system modifications, testing and employee support.
  • Provide support for the annual 401k audit and non-discrimination testing processes.
  • Assist with maintaining PPACA administration throughout the year and support 1095-C/1094-C year-end processing.
  • Coordinate benefit eligibility tasks, including dependent age out and missing data, evidence of insurability requirements and new hire enrollment reminders.
  • Assist with development, planning, and execution of company’s wellness program, in coordination with other HR team members, to include regular activities and communications.

Qualifications:

Minimum Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or related field and/or equivalent combination of education and/or experience.
  • Minimum of 3 + years progressive work experience in human resources and benefits.
  • Basic knowledge of human resource management principles and practices, primarily in the areas of benefits and HRIS administration, employee engagement, wellness programs, compliance reporting and training, onboarding and offboarding practices.
  • Experience working with HR systems, reporting and data management.
  • Professional in Human Resources (PHR) or SHRM-CP preferred.
