Job description

This is a remote position.

Job highlights:
  • Contract type: Independent Contractor
  • Schedule - Monday to Friday 9am - 6pm PST with 1 hour unpaid break (8 paid hours per day)
  • Collaborate with our team of 8 to work across and support different functions - Business Operations, Marketing, Sales, Event Production
  • No direct client interaction or phone answering required 

Responsibilities:

Provide support across the company, managing a wide variety of tasks, projects, and deliverables, supporting the team and adapting to evolving priorities and needs. Examples of responsibilities are listed below. Training to be provided by client as needed.
  • Document and Receipt Management: File documents, receipts and client contracts in Google Drive
  • Team Dashboard: Ensure the team dashboard is updated with the latest data
  • Employee Guide: Revise and update our employee guide as needed
  • Client Deliverables: Maintaining and updating deliverables such as project plans, event orders, meeting agendas and note logs, internal            communications and receipts
  • Housing and Registration Coordination: Assist with housing and registration collection, maintenance and cross-checks for client shows
  • Database Management: Keep contact database current, ensuring accurate and up-to-date information for clients and partners using provided    software
  • Candidate Support: Assist in managing candidate communications during the hiring process (send emails, calendar invites, etc)
  • Research: Conduct thorough online research on a wide range of topics. For example: business software, market trends, vendor or venue options
            ■ Summarize findings into concise and comparable formats to assist in decision making. For example, creating a Google Sheet comparing                   offerings, costs, pros/cons for software tools. Showcasing vendor options in Google Slides for client presentations.
            ■ Present key learnings and recommendations from research



Requirements

● 3 + years of proven success as a Virtual Administrative Assistant
● Expertise in Google Workspace ○ Google Docs: Skilled in creating, formatting, and editing professional documents
  • Google Slides: Capable of designing visually engaging and well organized presentations
  • Google Sheets: Competent in managing data, creating basic formulas, and creating clear reports
● Strong research skills with the ability to efficiently and accurate and relevant information
  • Expertise in summarizing findings into clear, concise documents, slides, or spreadsheets
  • Ability to identify and outline actionable steps and recommendations
● Highly organized and extremely detail-oriented
● Quick learner with enthusiasm for mastering new tools, technologies, and systems
● Strong problem-solving skills with ability to use creative thinking to overcome challenges
