Job Description:

The Workflow Coordinator role is a key component in delivering shared support services to the firm’s timekeepers and administrative staff. Operating in a 24/7/365 environment, this position coordinates incoming requests to ensure the timely and accurate delivery of service to internal customers. This position is critical in determining and helping deliver efficient, cost-effective, high quality, and timely work to internal customers.

  

Please note this is a fully remote position.

ESSENTIAL FUNCTIONS

These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.

  • Function as part of the workflow coordinating team within the Hub, the firm’s centralized support services’ team.
  • Serve as the customer point of contact.
  • Respond promptly and professionally to incoming requests for service via various methods (email, phone, web, etc.).
  • Determine work required using best practices, job knowledge, and internal tools.
  • Assign work to the appropriate resource.
  • Ensure internal operational controls are met and maintained – to include accurate use of workflow management and other tools specific to Hub operations.
  • Actively manage the queue of work assigned to the team, changing assignments as necessary to meet overall firm needs.
  • Provide production assistance where necessary – for quick turnarounds, troubleshooting, and quality control.
  • Work closely with Regional Supervisor and Service Delivery Manager for service issues.
  • Serve as liaison with third party provider to ensure efficient turnover of work at beginning and/or end of shift.
  • Active participation in coordinator and team meetings.
  • Perform other duties, as assigned.
  • Be present at work during regularly scheduled working hours and as needed in the position, consistent with the Firm’s attendance expectations.

SPECIFIC SKILLS REQUIRED

  • Ability to manage competing deadlines and customer demands effectively and professionally. 
  • Gain expert knowledge in the firm’s technology platform and software. 
  • Comfort in dealing with pressure situations and changing requirements. 
  • Ability to adhere to the department’s best practices and policies while meeting customer needs. 
  • Ability to direct the work of peers and guide performance without supervisory authority.
  • Strong command of the English language including excellent spelling, grammar, punctuation, form, and style. 
  • Experience with legal terminology and procedures

EDUCATION AND EXPERIENCE

  • Requires a high school diploma or equivalent; BA degree preferred. 
  • Requires a minimum of 5 years of relevant document processing/legal practice assistant experience, or equivalent.

This position may be filled in the following location(s). The compensation depends on qualifications and experience. 

Colorado compensation range: $76,990 to $115,960 annually.
