Wage (gross) and other rewards: minimum 1.600€ / monthly (depending on experiences and quality of the candidate) + annual global incentive plan-bonus and other benefits in compliance with social benefit program of the company

Key responsibilities and authority

  • Project Stage Gate facilitation – Meeting preparation and distribution of project stage gate documentation, record actions, updating the project register and project log.
  • Provide support and liaise with Project Managers on the project process and next steps.
  • Ensure systems and/or mechanisms are in place that enable project staff to easily find information, expertise and knowledge.
  • Ensure that all project documentation is in place with the setup and management of SharePoint folders, timesheet creation & updating the PMO project register.
  • Schedule and manage PMO meetings with PM’s, Portfolio’s and finance etc.
  • Conduct project reviews on areas such as project profitability, project progress, quality, resourcing issues and need for prioritisation between projects.
  • Support the process of management reporting on staffing and projects to ensure data is available for portfolio reviews.
  • Contribute to the development of project related processes, methods, tools, templates, and systems to support an efficient delivery.
  • Onboard and train project managers in the IT Project Management Methodology.
  • Creating Training Materials.
  • Administrator for time recording system and process through internal month billing cycle.
  • Monthly Time recording processing and financial reporting.
  • Carry out internal reviews and audits.

Key requirements

  • Customer-first mindset 
  • Fluency in English
  • Proven good communication and interpersonal skills
  • PMO experience is desirable but not essential.
  • Experience of project management or similar roles, with a strong understanding of projects and business acumen is preferred.
  • Experience in training and coaching others.
  • Good knowledge in Microsoft Office (Word/Excel/Powerpoint).
  • Able to use own initiative and work within a fast-paced environment.

Education/ Qualifications

Essential qualifications, education, and certifications necessary for success in the role.

  • Undergraduate/Bachelor.
  • IT experience, n IT PMO Support work and digital transformation initiatives. Experience in hosting meetings and providing hands-on training sessions.
  • Experience in supporting end to end, medium to larger IT/Technology projects Globally.
  • Project Management support experience in Scrum, Agile, Waterfall.
  • Experience inorking in a complex Global organization in a project management office role
  • Ability to understand and support complex IT projects according.
  • The ability to collaborate in cross-functional teams, globally.
  • Experience in Medical Devices/Pharmaceutical Industry (preference).
  • Good experience in using MS Office suite, Project Management Tools, Process Modeling Tools
