The Technical Operations team deploys and maintains systems, hardware, software, and technology for all business units.
SCOPE OF ROLE
Working closely with the IT team, in this role as IT Software & License Administrator, you will work within the IT Global Support team to administer all IT software systems and licenses. Reporting to the Service Delivery manager you will be responsible for issues and escalating where necessary.
To succeed in this role, you will:
- Manage inventory of IT software and licenses across the enterprise.
- Respond to requests from end users, managers, developers, and team members for specific IT Software Asset Management data information.
- Communicate through email, individual interview, group meetings, and presentations to end users, management, developers, and vendors.
- Assist the IT Procurement team to maintain information in a central repository.
- Assist the IT Procurement team in managing software ordering and compliance.
- Assist in the development of reporting to address management requirements to obtain information.
- Collect information for budgeting, software compliance & inventory, contract summaries, and cost comparisons.
- Identify and implement appropriate reporting and control activities to ensure software assets are maintained and software license grants are used within the terms of use.
- Facilitate the business’ needs for ongoing technical support and upgrade protection on selected products by ensuring that maintenance, support and upgrade protection renewals are managed/handled/ordered in advance of their expiration.
- Identify savings opportunities for renewals, software licensing, and services. Work with procurement to follow through with vendors and business partners to obtain identified savings.
- Manage contracts and relationships to maximize value creation and costs for software licensing, maintenance, and service offerings.
- Build reporting and strategies that ensure the maintenance of software assets within the enterprise. Active reporting, analysis and actions based on report outcomes.
- Maintain a SAM risk register and be proactive in helping all stakeholders identify, analyse, mitigate, and escalate software related risks.
- Define and implement internal audit and reconciliation strategies, respond to and manage potential external audits and work with 3rd party resellers to ensure that IT is compliant with the T&Cs of its software assets.
- Support the Software Distribution Team to effectively manage software updates, software versioning, and software packaging, testing and distribution.
- Work closely with all software owners to help them understand and exercise their responsibilities effectively, assuring that end users can download, access and use software, when needed.
- Proactively identify and implement continual improvement opportunities
You are a confident individual, able to work with the IT Procurement/Support team and deliver a high-quality service to our colleagues. Given that you will be working with colleagues directly, good communication skills are critical.
Relevant Skills and Experiences
- Experience with using ServiceNow or similar service desk system
- Experience with asset management technologies and related integrations
- MS Excel knowledge – advanced
- Power BI Knowledge - basics
- Knowledge and experience in building reporting and analytics
- Proven experience in a relevant IT environment
- Good awareness and experience of IT hardware, software, services and IT suppliers
- Able to manage and prioritize tasks and time efficiently
- Able to manage sensitive and sometimes confidential information
- Excellent written and verbal communication skills, articulate and diplomatic manner
