Position Overview
The Senior Director of Executive Operations will play a critical role in ensuring the smooth and effective functioning of Per Scholas’ National Leadership Team and National Board. Reporting directly to the Chief Operating Officer (COO), this role will be integral to advancing organizational priorities through high-quality operational support, clear communication, and proactive follow-up on strategic initiatives. Acting as a key partner to the COO, this position will also support cross-functional projects, executive communications, stakeholder engagement, and operational improvements.
This role requires exceptional attention to detail, the ability to synthesize information into actionable insights, and a highly collaborative approach to problem-solving.
Key Responsibilities
National Leadership Operations
- Serve as the operational lead for National Leadership Team meetings, ensuring agendas are prepared, discussions are documented, and follow-ups are tracked to completion.
- Capture and distribute meeting minutes with clarity and precision, highlighting decisions, actions, and owners.
- Partner with the COO to foster team alignment, collaboration, and accountability.
- Coordinate National Board meeting logistics, including scheduling, agenda development, and preparation of materials.
- Document and distribute Board meeting minutes, ensuring clarity on key takeaways, decisions, and action items.
- Proactively track and follow up on action items between meetings to ensure timely completion.
- Lead the planning and execution of all-staff All Hands meetings, including agenda development, speaker coordination, talking points, and communication.
- Ensure a seamless experience for attendees through effective coordination and communication.
Project Management, Communication & Engagement
- Manage complex, cross-functional projects as assigned by the COO including initiatives that advance organizational priorities. Ensure all projects are well-structured, tracked, and executed efficiently.
- Collaborate with leadership to drive change management initiatives, monitoring and communicating progress to ensure successful implementation.
- Draft internal and external communications, presentations, and materials for the COO and senior leadership.
- Ensure clarity, alignment, and consistency in tone and messaging across organizational communications.
- Support engagement between the COO and internal and external stakeholders, ensuring alignment, clarity, and follow-through.
- Conduct research, analyze data, and synthesize key insights to support informed decision-making by the COO and leadership team.
- Anticipate challenges, identify solutions, and recommend actions to advance organizational priorities.
- Identify and implement improvements to operational processes and team workflows to enhance efficiency and effectiveness.
- Ensure that leadership team members are well-prepared for meetings, decisions, and external engagements.
Qualifications and Experience
- Strong operational and organizational skills with at least 7 years of relevant experience in roles such as project management, executive operations, or a junior chief of staff position.
- Exceptional written and verbal communication skills, including the ability to create visually engaging and impactful presentations.
- Proven ability to synthesize large volumes of information into clear and concise key takeaways, decisions, and action steps.
- Demonstrated experience in managing complex, cross-functional projects and initiatives.
- Highly collaborative, with excellent interpersonal and listening skills to build trusted relationships across diverse stakeholders.
- Close attention to detail and a commitment to delivering high-quality work.
- Experience managing competing priorities in a fast-paced, dynamic environment.

For this role specifically, we are targeting a salary range of $75,000 - $80,000 where the difference in salary is typically determined by several factors, including geography in which the selected candidate resides, and alignment with qualifications and experience.
