Role Overview:
The Content & Speaker Coordinator is responsible for managing speaker logistics and ensuring smooth content delivery for major events. This role involves close collaboration with multiple teams to create impactful agendas and elevate the conference experience. Additionally, the role focuses on driving process improvements to enhance the speaker journey and streamline content production.
Responsibilities:
Content Management
- Populate and maintain event website agendas and speaker profiles.
- Coordinate with producers to implement interactive tools and ensure their effective execution.
- Maintain an up-to-date database of speaker information, including biographies, headshots, presentations, and other documentation.

- Speaker Coordination
- Manage the speaker journey by providing timely and accurate communication regarding registration, event details, and administrative needs.
- Serve as the primary point of contact for keynote and high-profile speakers, ensuring a personalized and exceptional experience.
- Draft and manage email templates and calendar invites for clear, consistent communication.
On-Site Support
- Liaise with production crews and supporting staff to clarify roles and ensure seamless content delivery.
- Prepare conference materials such as show decks, running order templates, and production cheat sheets.
- Provide on-site assistance as required.
- Collaboration Across Teams
- Work with marketing teams on speaker promotion assets.
- Partner with operations teams on logistics and setup.
- Coordinate with sponsored content teams to align efforts.
- Process Optimization and Reporting
- Identify and implement improvements to streamline content operations and enhance the speaker experience.
- Support post-event reporting and analysis to evaluate content performance and process effectiveness.
Budget Management
- Assist in creating and monitoring the speaker expense budget.
- Follow organizational purchasing policies, managing tasks related to vendor requisitions and purchase orders.
Qualifications:
- Proficiency in Microsoft Office Suite.
- Experience in executing large-scale events or conferences with multiple sessions, speakers, and stakeholders is advantageous but not essential.
- Strong project management skills and the ability to manage multiple timelines effectively.
- Excellent verbal and written communication skills in English.
