About this Opportunity: 

​​​As a Senior Executive Assistant, you will be responsible for providing high-level administrative support to multiple leaders. This person will manage and ensure the effectiveness of the company’s administrative tasks and issues such as scheduling, planning, and facilitating office meetings and other administrative actions. In this role, you’ll get to:  

  • Maintain executive(s) calendars, resolve scheduling conflicts, prioritize calendar events, keep all contacts up to date, schedule/organize meetings for team (weekly, monthly, quarterly), assist executive(s) with travel arrangements (airfare, train, hotel, rental car), and register executive(s) for conferences or classes 

  • Administrative support to executive(s) by creating PowerPoint presentations, Excel spreadsheets, print reports, bind presentations, make copies, filing, data entry, distribute mail to department members, assist with any other general administrative needs 

  • Monitor office supplies, ensure the kitchen areas are maintained, and order lunches for meetings and other special orders as needed

  • Plan/coordinate ongoing team meetings, team building events and offsite meetings

  • Manage relationships and expenses for: vending, USPS, UPS, FedEx, office equipment, office supplies, kitchen supplies, shredding bins, and plants

  • Periodically evaluate expenses and retain new vendors if warranted

  • Maintain contact with building facilities management and other companies as necessary to ensure proper standards are met for housekeeping, maintenance, fire alarm, etc.

  • Maintain contact to work with Orion Facilities Management for support of Utah office

  • Manages and submits Expenses on a monthly basis (or more frequent as needed)

  • Promotes Orion OCIO’s investment products and services by delivering key messages to current advisors

  • Maintain knowledge of services available to OCIO clients and advisors-based client needs; this includes Trading, Portfolio Analysis and Construction, Money Manager Due Diligence, and Tax Harvesting services

  • Builds, grows, and maintains new and existing advisory relationships

  • Maintains current advisor contact database utilizing Salesforce

  • Distributes materials to team members, advisors, and clients

  • Prepares special reports and material for advisors as needed

  • Completes all assigned campaigns as assigned by managers

We’re looking for talent who:  

  • Preferably has a high school diploma/GED; Bachelor’s degree 

  • Has minimum of 3 years of experience as an executive assistant or in a similar role  

  • Has experience with executive-level calendar management and multiple calendar management as well as executive email inboxes 

  • Maintains a high level of integrity and discretion in handling confidential information and dealing with professionals both inside and outside of the company 

  • Possess prior experience coordinating event logistics  

  • Obtains Orion Industry Certification 

  • Owns and manages relationships with stakeholders directly and work effectively with people at all levels in an organization

Salary Range:

$53,633.00 - $78,768.00

The pay listed in this posting indicates the estimated pay at the time of this posting; however, may vary depending on geographic location, job-related knowledge, skills, and experience.
