The Casey Eye Institute is recruiting for a Building Project Manager who functions as the departmental project manager in capital and non-capital construction projects. Manages all needs related to departmental space on campus and at satellite locations. Monitors janitorial and other cleaning services, including review of work by OHSU Environmental Services staff. Supervises departmental Computer Support User Analyst, managing dissemination of new IT information and technology applications. This position reports directly to the Department Administrator and indirectly to the Department Director.

Function/Duties of Position:

Acts as liaison to OHSU Design & Construction, architectural firms, contractors and vendors to represent departmental interests, facilitating adherence to timeline and project budget. Maintains oversight of projects from pre-construction meetings to project completion. Directs choice of finishes and furnishings in alignment with OHSU guidelines and to ensure functionality and compliance. Manages associated IT purchases and applications as required. 

 

Manages all needs related to departmental space on campus and at satellite locations. Responsibilities include interdepartmental relocation of faculty and staff members, managing all aspects of the move. Configures space to be compliant with all OHSU regulations and to meet individual ergonomic needs. Produces appropriate signage for all departmental locations.  Performs annual Space Survey in compliance with OHSU Space Planning Office.  Maintains accurate record of room use and room codes in accordance with funding sources. Acts as a lead representative for HHS or other space audits by national agencies. Functions as departmental key approver.

 

Supervises departmental Computer Support User Analyst, managing dissemination of new IT information and technology applications. Manages CSUA training of staff and faculty as required. Advises CSUA regarding IT hardware and software purchases in alignment with budgets. Ensures all hardware and software supporting department functions are maintained and upgraded as appropriate at on-campus and satellite locations. Ensures that staff members receive appropriate education regarding computer security, appropriate use of applications and oversee follow-up with Risk Management if infractions occur.

 

Manages all aspects of clinical and research equipment, including evaluation of purchase requests in alignment with budgetary considerations, choice of vendors, obtaining quotations and completing purchase orders as needed for all campus and satellite locations. Coordinates intake inspection of new equipment and periodic maintenance of existing equipment in conjunction with Clinical Technology Services. Coordinates repairs, moves and placement with CTS departmental technician.

 

Performs annual OHSU Inventory and maintains accurate record of all departmental equipment for each location. Monitors depreciation and status of capital equipment slated for retirement. Processes Surplus requests and maintains record of that activity.

 

Monitors janitorial and other cleaning services, including review of work by OHSU Environmental Services staff. Enters all Work Requests in system as related to facility needs and ensures completion. Provides input on capital budgets related to physical plant needs. Communicates with OHSU Facilities management to formulate major and minor facility upgrades and ongoing maintenance. Works with OHSU Parking to ensure adequate parking for staff and patients, including the coordination and communication of special events. Resolves specific parking issues for staff and patients. Works with Public Safety to ensure physical integrity of facility. Works with Facilities Management to oversee corrective maintenance program to ensure efficient and uninterrupted operation of the physical plant and related operating equipment within the facility.   

 

Performs Environment of Care safety training with all new employees and facilitates annual training for existing staff at all departmental locations. Develops and maintains Fire and Life Safety protocols at campus and satellite locations. Works with OHSU Safety Officer to ensure ongoing compliance with current protocols throughout the department.

 

Assists CEI Mobile Van Coordinator in operation and maintenance of mobile clinic van during outreach activity in the community. Represents the department in community health fairs and other trade shows as appropriate. Participates in the OHSU Speaker’s Bureau and respond to other speaking requests at community centers. Gives educational talks about Casey and/ or in promotion of fund-raising.  Assists Department Director with projects and any other duties as assigned.

Required Qualifications:

Bachelor’s degree in Business, Public Relations or related field.  Years of related experience may be substituted for a degree. 

 

A minimum of three years experience managing, coordinating, planning and implementing systems and/or projects.

 

Strong working knowledge of compliance policies and procedures.  Familiarity with HIPPA and other related healthcare guidelines and regulations. Excellent computer skills and knowledge of systems and programs.  Excellent PR skills and ability to creatively problem solve and effectively work with internal and external customers at all levels. Demonstrated evidence of strong written, verbal and PR communication skills.  Ability to make sound decisions and implement appropriate actions in a diverse environment.  Ability and willingness to role model appropriate behaviors and skills to staff.  Ability to train others and effectively transfer knowledge.  Ability to prioritize and work in a fast paced environment.  Ability to effectively delegate and manage projects.  Good analytical skills and ability to manage division budget. Ability to meet deadlines and urgent patient and system needs.

Preferred Qualifications:

Previous supervisory experience strongly preferred.
