About the Role
You will report directly to the Associate Event Director of 4YFN collaborating and assisting to ensure the seamless execution of the 4YFN event at MWC in February in Barcelona. Your responsibilities will encompass project planning and management, spanning from the initial planning stages to the event's execution and post-event evaluation. Your goal will be to ensure that objectives are met, delivered on time, and within budget. This hands-on role requires the ability to work independently while also being an effective team player.
A significant portion of your responsibilities will involve planning and executing the logistical aspects of the 4YFN event from inception to completion. This includes, but is not limited to:
Planning: Gather requirements and needs from all teams, create RFP documents, and collaborate with suppliers to obtain proposals.
Creative Vision: Contribute new ideas and a thoughtful approach to each project, helping create experiences that resonate with our audience and align with 4YFN’s goals. Research and incorporate the latest trends in event design, maintaining a modern and engaging aesthetic.
Event Timelines: Develop detailed event timelines and ensure all deadlines are met.
Vendor Negotiation and Management: Identify and negotiate with vendors for services such as venue rental, catering, audiovisual equipment, and transportation. Establish and maintain strong relationships with vendors to secure favorable terms and ensure quality service delivery.
Collaborate & Execute: Work closely with cross-functional teams to bring event concepts to life, ensuring smooth execution and attention to detail., AV and technical equipment, transportation, signage, and design.Coordination with other GSMA teams for floor plan updates, OEM updates, signage and branding
Communication: Work with the team to assess needs, assign tasks, monitor progress, and ensure effective communication among team members.
Onsite Planning: Assist with the setup, operation, and teardown of the 4YFN event.
Compliance: Ensure compliance with health and safety regulations and industry standards.
Post-Event Evaluation: Conduct post-event debriefs, gather feedback, analyse the event's success, prepare detailed reports, and make recommendations for future improvements.
Budget Management: Handle budgets and ensure events are delivered within budget.
