Legal Office Services Specialist
Boston, MA (onsite)

Manager Job Description:


Responsible for processing incoming/outgoing mail, completing copy/scan jobs as they come in from the customer. Check kitchens to ensure they are fully stocked and empty dishwashers in the AM. Set up for any conferences or meetings that are scheduled for the day. Check all copy machines to ensure they are in working order, clean glass tops if necessary and make sure all paper is stocked for the machines. Provide break coverage for reception and any vacation/sick days. Hand deliveries not to exceed a 2 mile radius (walking). Some lifting, standing and walking not extensive. No lifting over 50 lbs. Excellent Customer service a must, Mail room experience, someone who has worked in a Staples or Client store. The candidate will have the opportunity to become perm with Ricoh after 320 hours worked. The client is Pierce Atwood LLP. The worksite address is 100 Summer St 15th Fl, Boston, MA 02109 United States (on the 22nd floor). There is no free parking.

This role provides operational support within a legal office, handling high-volume duplicating, document processing, shipping/receiving, mail distribution, and equipment maintenance. The position requires interaction with executive-level clients, performing quality work on time-sensitive, confidential projects.

Responsibilities:

  • Operate high-volume copiers and perform binding, finishing, and quality checks.
  • Conduct copier maintenance, clear jams, and coordinate service calls.
  • Sort, distribute, and handle incoming and outgoing mail/faxes; apply postage.
  • Maintain records for reports, supply inventories, and billing logs.
  • Answer inquiries on job status, feasibility, and resolve issues.
  • Prepare and maintain meeting/conference rooms; perform light building maintenance.
  • Use equipment such as shrink-wrap machines, paper cutters, and staplers as needed.
  • Handle document scanning, file formatting, file conversion, and OCR for keyword searches.
  • Provide professional-level support to executive end-users, including legal staff and project managers.

Requirements:

  • Strong attention to detail and confidentiality.
  • Ability to manage high-pressure projects with tight deadlines.
  • Proficient with copier and bindery equipment, fax machines, and postage meters.
  • Basic PC skills and familiarity with file transfer protocols.
  • Excellent communication and customer service skills for interaction with executive-level clients.
  • Willingness to travel between buildings and work occasional overtime.
