Job Description

The ideal candidate will be a hard-working professional with excellent communication skills who can undertake a variety of administrative, payroll, and human resources-based tasks and work diligently to complete those tasks within the timeline required. The successful candidate will play a key role in supporting the smooth operation of back-office functions, be comfortable working with a high degree of attention to detail and discretion, and provide input into new and effective ways to achieve better results.

Responsibilities

  • Calculate, review, and process bi-weekly and semi-monthly payroll schedules, including entering any exceptions such as overtime, sick time, expenses, etc.
  • Ensure all timesheets are entered on time and follow-up accordingly for missing entries.
  • Answer payroll inquiries from various sources, including employees and management.
  • Process contractor payments every month.
  • Prepare and process billing invoices for clients within established timelines.
  • Investigate, validate, and troubleshoot billing and invoicing issues, including resolving outstanding aging.
  • Assist in end-of-month close tasks, including but not limited to contractor billing creation, posting client payments, and preparing various reports.
  • Assist in the onboarding process for new hires, including but not limited to issuing offer letters or contracts, issuing onboarding packages, I9 verification, and setting up employees in Paychex and contractors in the vendor payment system.
  • Assist with job postings on internal and external job boards.
  • Formatting candidate resumes for submission to clients with the Sierra Solutions brand.

Requirements

  • 3+ years of experience in human resources, administrative support, or project management/coordination roles.
  • Must be able to exhibit extreme discretion in keeping all information confidential.
  • Demonstrated ability to prioritize & meet multiple individual and team deadlines in a changing, dynamic work environment, with strong attention to detail.
  • Ability to maintain, control, and communicate deadlines, roadblocks, and escalations as needed.
  • Proficient in Microsoft Office Suite (Outlook, Word); advanced Excel skills.
  • Experience with QuickBooks Online a plus.
