Schedule: 9:00 AM to 1:00 PM Miami FL Time Monday to Friday

Job Description:

We are seeking an experienced and detail-oriented 1099 Preparer to join our team on a temporary contract basis. The 1099 Preparer will be responsible for the accurate and timely preparation, filing, and submission of 1099 forms through QuickBooks Online (QBO) for our clients. This role is crucial for ensuring compliance with IRS regulations and deadlines.

Key Responsibilities:

1099 Preparation:
Collect, verify, and organize all necessary information from clients and their vendors/contractors to accurately prepare 1099 forms.
Enter/review vendor data within QBO to ensure completeness and accuracy, including tax identification numbers (TINs), physical and email addresses, and payment amounts.
Identify vendors who require a 1099 and ensure all relevant information is available and up-to- date.

Client Communication:
Communicate effectively and professionally with clients to gather any missing information, clarify discrepancies, and ensure accuracy in 1099 filings.
Send clear, concise emails to clients requesting W-9 forms or additional details needed for accurate 1099 preparation. Follow-up via email, SMS and phone calls.

QBO Management:
Utilize QBO to track and manage all 1099-related data, ensuring all records are up to date.
Prepare 1099 forms in QBO and ensure all forms are correctly filed with the IRS before the deadline to avoid penalties and ensure compliance.

Documentation and Record-Keeping:
Maintain accurate records of all communications, forms, and submissions related to 1099 preparation per client.
Ensure clients have access to copies of submitted 1099 forms for their records.

Requirements
Experience:
Proven experience in preparing and filing 1099 forms, preferably in a professional services or accounting environment.
Familiarity with QuickBooks Online (QBO) and its 1099 preparation tools.

Skills:
Proficient in English, with good communication skills for interacting with clients and vendors.
Strong attention to detail, ensuring accuracy in all aspects of 1099 preparation and submission.
Knowledge of IRS 1099 filing requirements and deadlines.
Ability to work independently and manage time effectively to meet strict deadlines.

Technical Proficiency:
Competence in using QBO for managing and filing 1099 forms.
Proficiency in using email and other communication tools to interact with clients and vendors.
Familiarity with cloud-based accounting tools and systems.
Candidates must have access to a reliable internet connection and a suitable workspace.
