Responsibilities:

Scheduler:

  • On-call evening and weekend scheduling support to provide medical clerks coverage for multiple clinics and departments for a federal hospital.
  • Receives calls, emails or texts from employees who are unable to work their scheduled shift.
  • Contacts on call pool of backup employees to find replacement workers.
  • Notify clinic supervisors to advise them of the employee’s unscheduled absence and possible replacement worker’s arrival.
  • Support manager with developing, updating, maintaining and submitting work schedules with coverage call-out logs/reports - for department supervisors and corporate accounting.

Scheduling role is paid on a per day, weekend and holiday fixed rate for the number of days scheduling support is provided. This is a remote role that covers the weekday evenings, weekends and holidays supporting multiple clinic clerical staffing at a federal government facility.

  • Monday – Friday, 5:00 PM – 7:00 AM EST
  • Saturday, Sunday and holiday availability required.

Operations Support: (Additional part time 10-15 hours per week)

  • Assists in the management of completion of timesheet reports by contractor personnel of assigned contracts, according to Defense Contract Audit Agency (DCAA) guidelines, in support of project supervisor’s responsibilities in the execution of payroll and invoicing.
  • Support project manager with scheduling and conducting job interviews for multiple position and select qualified candidates.
  • Assists manager in compiling and submitting complete employee packet for qualifying and security compliance, to ensure a timely start of performance on contract.
  • Ensure staffing and skills levels are met according to contract performance requirements.
  • Ensure contracted employees meet all qualifications and immunizations requirements.
  • Ensure contract personnel understand project priorities, level of effort, and deadlines and are effectively performing all responsibilities as outlined in job description, especially reporting on time and hours worked.
  • Assists project manager in monitoring staff performance and follow up on areas of deficiency.
  • Communicates the work expectations and delivery status with effective reporting to client, employees and executive management, ensuring client satisfaction.
  • Perform other appropriate duties as requested.
Qualifications:
  • Minimum of 1 year “Hands On” Experience with managing 24x7 absence coverage type staffing schedules supporting 24x7 hospital departments clinics with multiple roles and shifts
  • Minimum one year of experience in high-volume, fast-paced medical or administrative staffing operations, including sourcing, recruitment and placement.
  • Associate’s degree in related field required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Excellent PC skills, preferably Microsoft Word, Excel and Scheduling COTS.
  • Proven ability to work effectively with management, employees, and customers.
