The OHSU Knight Cancer Institute, known as one of the pioneers in personalized cancer medicine, is an international leader in research and cancer treatment. Driven by its mission to end cancer as we know it, the institute is building upon its expertise in targeted treatments to advance the early detection of cancer when the disease is most treatable. The primary mission of the Division of Oncological Sciences at OHSU's Knight Cancer Institute is to better understand cancer through basic, translational and population-based research that improves cancer prevention, detection and treatments for all. The Program Administrator will provide support to Prof. Andrew Emili, a senior faculty member who directs a sizeable, multi-disciplinary, and highly collaborative research lab in DOS. This role is responsible for management of the administrative functions of the Emili lab. This involves budget and business operations, such as scheduling, ordering and procurement of items for lab staff; managing collaborative project gatherings, preparing regular reports of lab resources and collaborative projects, documenting scientific impact, managing lab-related activities, procurement and invoices, and coordinating the recruitment and promotion process. They will work directly with Dr Emili and senior lab staff and trainees, serve as a liaison to Knight Finance, Knight Grants Management, and Knight Human Resources, and assists Prof Emili in grant budgeting, documentation and submission processes, as well as social media outreach, and the presentation of lab projects and research program goals and impact to Knight Leadership. The ideal candidate is someone who is organized and enthusiastic, scientifically oriented, with advanced communication skills who will take initiative to support the PI/lab director and the lab's changing needs. They will thrive in a fast-paced, interactive and busy environment. Candidate will provide expert assistance with scheduling, meeting preparation, reimbursements, event assistance, as well as general lab support. Experience with procurement, inventory management, basic bookkeeping, and familiarity with website design/social media is required. Social science and/or general science background will be a big plus, as well as managing recruitment efforts, and developing onboarding activities for the team. Coordinates the editing, documenting, proofing, and distribution of grant applications. Analyzes data and uses judgment in making independent decisions regarding the coordination of projects and collaborators.
Function/Duties of Position:
Key Responsibilities:
Provides confidential executive support to OHSU Professor/PI Andrew Emili, including but not limited to:
- Management of calendars, meetings and travel arrangements plus scheduling priorities and coordinates day-to-day and monthly activities
- Advises PI commitments and obligations, and communicates to other lab members and OHSU staff on behalf of leadership.
- Prepares and initiates correspondence with officials and collaborators
- Composes, drafts and edits a variety of documents, many of a sensitive, timely and confidential nature, including correspondence, meeting agendas and summaries, scientific reports, research proposals, collaborative agreements, and personnel documents.
- Works with HR on recruiting efforts and assists with onboarding new employees
- Compiles information regarding budget and use of funds.
- Provides weekly support for the Emili Lab, which can include checking and keeping inventory, ordering and delivering supplies, maintaining common spaces such as kitchen, supply room, and conference rooms, and assisting employees and guests with questions, troubleshooting, maintenance requests, and wayfinding.
- Assist with grant transfers, collate and update grant documentation, and submissions
Required Qualifications:
Education & experience:
- Bachelor’s degree
- 3+ years’ experience in a research environment as a researcher or administrator
- 2+ years’ experience coordinating projects or programs
Knowledge, skills, and abilities:
- Ability to thrive in an ambiguous environment
- Demonstrative creative and proactive problem solving Proficiency in excel
- Ability to prioritize multiple tasks at one time
- Excellent communication, analytical and organizational skills: both written and verbal
- Ability to work independently and as part of a team while being collaborative in resolving problems
- Intermediate skills with Microsoft Office (Excel, Outlook, Access, Word, and PowerPoint) on Window OS. Ability to accurately type 60wpm
- Working knowledge of Oracle
- Must have demonstrated excellent customer service skills both on the phone and in person
- Must possess energy and drive to coordinate multiple projects simultaneously
- Ability to use tact and diplomacy to maintain effective working relationships
Preferred Qualifications:
- Master’s degree
- Science background
- 5+ years’ experience in a research environment as a researcher or administrator
- 1+ year lab management experience or supervisory experience
- Experience using Smartsheet
