We are seeking a dynamic, creative, collaborative People and Culture Generalist to join the People and Culture team.  Reporting to the Director, People and Culture, the Generalist is responsible for key operational and administrative functions for the People and Culture team and will play a crucial role in supporting AIP Publishing’s employees.  

Key Responsibilities:

Employee Support:

  • Serve as the first point of contact for employee inquiries, providing general information and liaison with the payroll and benefit teams to answer questions
  • Answer general FMLA inquiries and support both employees and managers in their collaboration with the benefits team and external vendor

Onboarding:

  • Conduct new hire orientation
  • Oversee the administration of the onboarding process and act as a point of contact for new hires and hiring managers, addressing any questions or concerns
  • Training new hires on P&C platforms including Lattice and ADP eTime

Documentation and Compliance: 

  • Oversee various P&C programs (including Employee Referral Program, Tuition Reimbursement, Anniversary, Birthday, Rewards and Recognition) workflows and process timely, in alignment with policy and in conjunction with payroll deadlines
  • Complete unemployment claims and verifications of employment accurately and timely
  • Maintain the P&C Intranet Page
  • Oversee the invoice process
  • Monitor and audit trainings through completion  
  • Create and launch P&C surveys using Microsoft Forms and Survey Monkey

ADP, Greenhouse (ATS) and Shared Drive Maintenance:

  • Manage employee electronic paperwork and ADP files, maintain a confidential, organized filing system for correspondence, policies, and HR-related documents, and ensure compliance with relevant regulations such as maintaining I-9 and NY State-mandated compliance, ensuring accurate and up-to-date documentation
  • ADP Workforce Now Data Entry including new hires and all employee changes
  • Generate ADP reports
  • Schedule Greenhouse P&C screens
  • Maintain the P&C Shared Drive

 Requirements:

  • Bachelor’s degree required
  • 3-5 years of demonstrated success in HR administration required
  • 3+ years ADP Workforce Now look up and data entry experience required
  • 2+ years Greenhouse or ATS preferred
  • Experience answering general FMLA inquiries a plus
  • Thorough understanding of recruiting methods and best practices, as well as applicable policies and federal, state, and local employment laws and regulations
  • Proficient with Excel, Word and PowerPoint
  • Excellent verbal and written communications skills
  • Comfortable with ambiguity and adapting to change
  • Ability to work independently and collaboratively
  • Ability to exercise sound judgement in decision-making
  • Has a collaborative/consultative approach to work
  • Ability to work on projects with competing priorities simultaneously
  • Must reside in NY, NJ, CT, MD, VA, PA, MA, RI, or DC

Additional details:

$31.25 (65K) - $38.50 (80K)

Salary within the above posted range is based on a variety of factors including relevant experience.  This is a remote first plus convening opportunity.
