Role Name: Executive Assistant - Business Consulting

Schedule:

  • 40 hours per week (8 AM to 5 PM Orlando, FL Time) Monday to Friday

Job Description

As an Executive Assistant in this fast-paced environment, you’ll be the linchpin of daily operations, supporting high-level executives in managing complex schedules, client communications, and financial document preparation. You’ll play a crucial role in streamlining processes, maintaining client relationships, and contributing to the firm’s continued growth. Responsibilities
  • Manage multiple executives’ calendars, coordinating appointments and sending reminders
  • Handle client communications, addressing inquiries professionally and efficiently
  • Assist with financial document management, including QuickBooks report generation
  • Organize and maintain digital files, ensuring proper document storage and retrieval
  • Support preparation of government contract documentation and grant applications
  • Coordinate with clients to gather financial information and follow up on pending items
  • Utilize project management software to track tasks and meet critical deadlines
  • Assist with server cleanup and digital file organization initiatives
  • Provide general administrative support to partners and team members
  • Contribute to the transition to a more robust digital platform


Requirements
  • Proven experience as an Executive Assistant or in a similar high-pressure role
  • Proficiency in QuickBooks, Microsoft Office Suite, and project management tools
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication abilities
  • Discretion in handling confidential information
  • Meticulous attention to detail and high level of accuracy
  • Ability to thrive in a fast-paced environment and manage multiple priorities
  • Basic understanding of accounting principles and financial reports
  • Bilingual in English and Spanish preferred
  • Flexibility to handle increased workload during peak seasons (tax time, fiscal year-end)
