Job description

JOB PURPOSE

This position is within the Financial Operations Team, specifically the Robins Kaplan Billing Department.  The Billing Specialist will support and enhance firm billing functions through the preparation of client invoices, maintaining various client details within internal platforms, addressing requests and special projects, collaborating with attorneys, legal administrative assistants (LAAs) and clients, reporting status and performance to management, and actively contributing to the achievement of defined departmental objectives.

Flexible Work Schedule: Robins Kaplan LLP offers employees the benefit of flexible work schedules. This position has the option of working remotely 3 days per week.

ESSENTIAL FUNCTIONS

  • Interpret Outside Council Guidelines/Engagement letters to determine fee arrangements, rate discounts and other special requirements for billing setup in the 3E tool
  • Review new open matters for accuracy
  • Accurately and efficiently, edit, prepare and execute monthly billing for assigned clients. This includes: processing transfers, write-offs, and adjustments
  • Work with E-Billing Systems to ensure successful matter setup and transmission of invoices
  • Prepare accruals/budgets for clients
  • Communicate effectively, courteously and timely to LAA, attorney and client inquiries
  • Prepare reports, spreadsheets and other documentation as needed
  • Maintain up to date client specific billing procedures
  • Assist with special projects as needed

KNOWLEDGE AND SKILLS REQUIRED

  • Strong customer service and communication skills
  • Extremely detailed oriented, acute attention to detail
  • Problem solving skills
  • Ability to work in a team-oriented environment
  • Must be organized and able to multi task
  • Proficiency with MS Word and Excel (formulas, pivot tables and filters)
  • Working knowledge of 3E ideal

EDUCATION AND EXPERIENCE REQUIREMENTS            

  • Undergraduate degree in Business, Accounting or Finance preferred
  • Minimum 2 years of billing experience required
  • Experience with electronic billing systems such as e-Billing Hub, Legal X, Collaborati, TyMetrix, and Passport preferred

PHYSICAL DEMANDS OF POSITION 

 Work is performed in a professional office environment and requires the following during the work day:

  • Work Hours: Incumbent is expected to work the hours and shift necessary to fulfill the responsibilities of the position. It is possible that this role will require more than standard hours, especially during month and year-end closings and during special projects.
  • Must be able to remain in a stationary position for long periods of time (working at a computer)
  • Ability to move/traverse about inside the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)
  • Operate computer and other office equipment such as a copy machine, printer, telephone, etc.
  • Repetitive movement (i.e. heavy computer/keyboard use).
  • Individual will interact regularly with others verbally, in-person, and via written communication.
  • May require occasional light lifting (files, copy paper, etc.).
