Summary of Position:
The IT System Analyst is responsible for acting as the second line of defense for the IT Support Team by managing and supporting incoming support tickets, escalating security and IT issues, and performing system configurations and troubleshooting. This role also involves managing security and compliance tasks, working closely with the compliance manager, and overseeing Windows Defender and other security tools to ensure that IT systems operate smoothly and securely. The IT System Analyst plays a vital role in maintaining the integrity, efficiency, and security of IT operations by collaborating with various teams and leveraging Microsoft’s security solutions.
Duties and Responsibilities:
Ticket Management & Resolution:
- Respond to and resolve secondary support tickets related to IT system issues, providing timely and accurate solutions.
- Troubleshoot and diagnose system issues within Microsoft 365, escalating complex cases as needed.
- Document ticket resolutions and communicate findings with stakeholders to ensure transparency.
Microsoft 365 Administration:
- Manage and configure user accounts, permissions, group policies, and security settings within the Microsoft 365 admin portal.
- Monitor system performance, usage metrics, and ensure Microsoft 365 services comply with internal security and operational policies.
- Support system upgrades, patching, and routine maintenance to maintain the health and security of Microsoft 365 services.
Microsoft Defender & Security Management:
- Monitor and respond to security alerts from Microsoft Defender, mitigating potential security threats in a timely manner.
- Investigate security incidents, providing detailed analyses and implementing remediation steps to protect the organization.
- Configure and optimize Microsoft Defender for Office 365 to enhance threat detection and prevention.
Security Compliance & Policy Enforcement:
- Ensure all Microsoft 365 security configurations align with organizational compliance requirements, including regulations like HIPAA and GDPR.
- Implement and enforce security policies, such as Multi-Factor Authentication (MFA) and conditional access in O365, to bolster system security.
- Conduct regular security audits, reviewing logs and reports to assess the organization’s security posture and identifying areas for improvement.
Collaboration & Reporting:
- Collaborate with IT teams, engineers, and stakeholders to recommend improvements for system security and operational efficiency.
- Prepare reports on security incidents, ticket trends, and system performance for management review.
- Develop user guides and internal documentation related to system security, support processes, and configuration best practices.
Proactive System Monitoring:
- Utilize monitoring tools to oversee the health of IT systems and address potential issues before they escalate.
- Stay updated on the latest Microsoft security patches and ensure prompt deployment to protect against vulnerabilities.
Continuous Improvement:
- Identify opportunities for improving ticket resolution workflows, system management processes, and automation.
- Participate in ongoing training and development to stay informed about Microsoft 365 tools, system security features, and industry trends.
Preferred Qualifications/Experience:
- Bachelor’s degree in Information Technology, Computer Science, or a related field.
- 3+ years of experience in IT support or system administration, focusing on Microsoft 365 environments.
- Experience with Microsoft 365 administration tools, including user and group management, licensing, and security configurations.
- Proven experience with Microsoft Defender or other enterprise-level security monitoring and incident response solutions.
- Certifications like Microsoft 365 Certified: Modern Desktop Administrator Associate or Microsoft Certified: Security, Compliance, and Identity Fundamentals are highly desirable.
- Familiarity with ticketing systems like Jira Service Management, ServiceNow, or similar platforms.
- Experience with PowerShell scripting for automating administrative tasks in Microsoft 365.
- Hands-on experience managing Multi-Factor Authentication (MFA) and Conditional Access policies in O365.
- Knowledge of IT compliance standards such as HIPAA, GDPR, or SOC 2.
Required Skills:
- Strong troubleshooting skills with the ability to diagnose and resolve technical issues related to Microsoft 365 services, especially in user management and security.
- Expertise in working with Microsoft Defender and other security tools to monitor, analyze, and mitigate security threats.
- Experience managing and configuring Office 365 security settings, including Exchange Online Protection (EOP), anti-phishing, and anti-malware policies.
- Ability to analyze security alerts, perform investigations, and implement actionable remediation steps.
- Excellent communication skills to interact with end-users, technical teams, and stakeholders in documenting, escalating, and resolving issues.
- Strong organizational skills, with attention to detail in ticket management and system documentation.
- Ability to manage multiple priorities and handle a fast-paced, dynamic work environment.
- Proficiency in using PowerShell or other automation tools for system management.
- Familiarity with ITIL processes and best practices for incident, problem, and change management.
- Solid understanding of network security principles, email security protocols, and cloud-based security controls.
Preferred Skills:
- Advanced knowledge of Microsoft 365 security features such as Defender for Office 365, Data Loss Prevention (DLP), and Advanced Threat Protection (ATP).
- Proficiency in configuring and managing Azure Active Directory (AAD), including role-based access control (RBAC) and conditional access policies.
- Strong skills in PowerShell scripting for automating tasks like user management, security audits, and reporting.
- Experience with SIEM tools for monitoring and analyzing security events.
- Familiarity with Endpoint Detection and Response (EDR) tools like Windows Defender ATP.
- Experience with firewall configurations, VPN setups, and other network security tools and protocols.
- Understanding of cloud security principles in environments like Microsoft Azure.
- Ability to create technical documentation and knowledge base articles for internal use.
- Knowledge of data privacy laws and regulations such as GDPR and HIPAA, and the ability to enforce compliance within the Microsoft 365 environment.
- Experience managing or implementing IT security projects and system upgrades.
