At Moxie Partners, Inc. (https://www.joinmoxie.com), we empower nurse entrepreneurs in the USA to build and scale their own successful, independent MedSpa clinics. With the industry's rapid growth, MedSpas have become a means for many women to venture into business ownership. While Moxie is helping healthcare providers with their journey, it means a lot more growth for us and more internal operations to manage which is where this role comes in.

As the business grows, our operations grow which means we need to ensure 100% diligence for the business to continue without any disruption. We have many processes implemented for such tasks but need help ensuring that the monthly and weekly tasks are done by someone who takes pride in their work, is very detail-oriented, and understands the business impact if something is not done properly. We’re eager to fill this new role at Moxie and excited to find the best fit!

In this role, you will work with our Operations and Onboarding Team to ensure

  • Assist the team in onboarding new providers and medical directors. 

  • Help manage our client database updates and ensure correlating dashboards/reports are up-to-date

  • Conduct documentation audits to ensure compliance with internal and external processes and standards.

  • Build, maintain, and update SOPs based on new requirements and processes.

  • Monitor, organize, and track data files, ensuring they are up-to-date and easily accessible.

  • Manage our virtual mailbox platform and ensure that centralization of mail is accessible and visible to all stakeholders 

  • Identify opportunities for improving data management and tracking systems. 

  • Over time, own and be the point of contact for specific processes related to operations, onboarding, and compliance.

We’re looking for candidates who:

  • Have experience working with US customers in a similar role (e.g., operations, database management).

  • Experience working in a fast-paced environment

  • Experience working with a CRM (Salesforce, HubSpot, Gainsight..)

  • Are willing to work US hours (ranging from EST to PST).

  • Boast strong written and verbal English skills.

  • Exhibit very high attention to detail and reliability.

  • Understand the importance of data privacy and compliance management 

  • Can execute tasks efficiently and effectively

  • Raise issues or ideas contributing to the team’s operational growth

Additional requirements:

  • Reliable internet connection (>30 mbps).

  • Quiet working environment.

  • Proficiency in English. 

  • Bonus if:

    • You have experience with HubSpot property management and dashboards.

    • Invoicing and billing management.

    • You have a background in system setup specifically using multiple systems that house private data

    • You have previously worked in a healthcare/beauty/wellness business.

    • You have experience with project management tools like Asana or Trello.
