Job Overview

We are pleased to announce a short-term contract position for an Executive Assistant within the vibrant Real Estate sector. This fully remote opportunity is tailored for an organized and proactive professional who will deliver extensive support to the Chief Communications and Mission Officer. In this role, you will be entrusted with managing a variety of administrative responsibilities, overseeing special projects, and coordinating inter-departmental activities to advance our mission.

Key Responsibilities

  • Coordinate agency operations, providing essential support for the procurement process.
  • Serve as a representative for the Chief Communications and Mission Officer, enhancing engagement with both internal and external stakeholders.
  • Execute administrative tasks, including drafting memos, composing and editing emails, and preparing communications for the Chief Communications and Mission Officer.
  • Maintain comprehensive and accurate records for the Chief Communications and Mission Officer.
  • Manage email correspondence, prioritizing responses to ensure timely communication.
  • Arrange travel logistics and oversee expense reporting for the Chief Communications and Mission Officer.
  • Collaborate on creative direction, aligning marketing and mission strategies across the organization, while supporting key leadership initiatives.
  • Oversee various special projects and provide pertinent research or information to ensure successful outcomes.
  • Assist in the coordination of public statements and responses during high-visibility events, addressing critical response needs.
  • Facilitate team coordination efforts, including cross-departmental activities.
  • Offer onsite assistance for brand activation, conferences, or events involving the Chief Communications and Mission Officer or the Marketing/Communications team.

Required Skills

  • Proficiency in ADP Financial Services.
  • Familiarity with Concur for travel and expense management.
  • Experience with Cisco Webex Meetings for remote communication.
  • Competence in using a CRM system to manage client interactions and data.
  • Experience with Kronos Timekeeping System for tracking employee hours.
  • Strong organizational skills for effective calendar management.
  • Excellent communication skills, both written and verbal, to facilitate productive interactions.
  • Experience managing conference calls to support effective remote meetings.
  • Ability to efficiently manage correspondence.

Qualifications

  • A minimum of 5 years of experience as an Executive Assistant in the Real Estate industry is required.
  • Demonstrated technical skills and strong organizational capabilities.
  • Proven ability to communicate effectively, both in writing and verbally.
