Job Overview

We are seeking a detail-oriented and proactive Executive Administrative Assistant to provide support to our high-level executive clients from a remote setting. This role requires exceptional organizational skills, professionalism, and the ability to manage a variety of administrative tasks while maintaining confidentiality.

Key Responsibilities

  • Manage executive schedules, appointments, meetings, and travel arrangements to enhance productivity.
  • Organize and maintain confidential files and records for efficient retrieval and data management.
  • Collaborate with team members to monitor project progress and ensure timely completion of tasks.
  • Foster positive working relationships with key stakeholders, including clients and partners.
  • Coordinate travel logistics, including bookings and itineraries, for seamless business trips.
  • Assist in financial administration including monitoring expenses and processing invoices.
  • Prepare meeting materials and take minutes to document discussions and action items.
  • Delegate tasks as appropriate and ensure timely follow-through on assignments.
  • Provide general administrative support, such as drafting documents and managing additional tasks as needed.

Required Skills

  • A minimum of 3-5 years of experience in an Executive Assistant role.
  • Proficiency in CRM systems and virtual communication tools.
  • Strong organizational skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills to interact professionally with stakeholders.
  • High level of discretion and confidentiality when handling sensitive information.
  • Strong attention to detail coupled with excellent problem-solving abilities.
  • Self-motivated and capable of working independently while meeting deadlines.
