Key Responsibilities

  • Calendar & Meeting Management: Ensure that our schedules are well-managed, meetings are coordinated effectively, and time is utilized efficiently.
  • Email Management: Oversee the inbox, ensuring prompt and professional responses while maintaining clarity in communication.
  • Outreach & Coordination: Facilitate outreach to potential clients or partners, managing follow-ups and ensuring polished communication at all times.
  • Project & Task Management: Leverage tools like ClickUp or Notion for effective organization and adherence to deadlines.
  • Client & Vendor Communication: Act as the primary liaison for coordinating interactions with clients and vendors, ensuring clear communication and scheduled calls.
  • Research & Sourcing: Support the team by researching potential leads or vendors and compiling structured summaries and reports to aid business decisions.
  • Updates and Training via Video: Utilize asynchronous tools like Loom to communicate updates and provide walkthroughs while being comfortable on camera.

Required Skills

  • Exceptional writing skills with the ability to communicate effectively across various platforms.
  • Highly organized, detail-oriented, and proactive—possessing a strong capability to complete tasks efficiently.
  • Eager to learn and explore new subjects with curiosity.
  • Familiarity with marketing tools such as website builders and Google Analytics, along with basic visual design skills using tools like Canva.
  • Proficient in managing multiple tasks and projects simultaneously.
  • Previous remote work experience is essential, enabling you to navigate independent work while maintaining productivity.
  • Tech-savvy, with the capacity to quickly learn new software (familiarity with Slack, ClickUp, and Loom is advantageous).
  • Previous experience in an assistant role or similar capacity is preferred, though we value quick learners as well.
