Job Title: Executive Assistant to CEO / Founder - Remote

Job Overview

Our commitment to excellence drives a dedicated team focused on enhancing operational efficiency and enriching customer engagement.

We are currently in search of a proficient Executive Assistant who will provide vital administrative support while serving as a strategic ally to our Founder and CEO. This position demands a proactive individual who can adeptly anticipate the needs of the executive, manage special projects from inception to completion, and harmonize tactical adaptability with strategic foresight.

Key Responsibilities

  • Oversee the CEO's email correspondence by organizing, prioritizing incoming messages, and facilitating appropriate responses.
  • Manage the CEO's calendar meticulously, coordinating complex appointments and optimizing time management.
  • Arrange domestic and international travel logistics, encompassing flight arrangements, accommodations, and transportation.
  • Assist the CEO with special projects and operational initiatives, ensuring successful execution and tracking progress.
  • Prepare for strategic meetings by organizing logistics, crafting agendas, documenting minutes, and developing presentation materials.
  • Establish and maintain standard operating procedures and checklists, recommending process enhancements as necessary.
  • Conduct various operational tasks, including managing contracts and insurance documents, tracking invoice payments, and ensuring compliance with annual business regulations.
  • Facilitate effective communication across the organization, fostering trust and support among team members.
  • Act as the primary liaison for the CEO, managing sensitive information and making judgment calls reflective of the CEO's style and organizational policies.
  • Execute errands in the Orange County area, such as making returns, purchasing supplies, and coordinating deliveries.

Required Skills

  • Proven expertise in managing complex operations and coordination within a dynamic business or startup setting.
  • Strong preference for candidates with experience in providing support to a CEO or executive with extensive responsibilities.
  • Relevant experience in high-paced growth environments, ideally within technology or consulting sectors.
  • Self-motivated with the capability to manage a substantial workload with minimal oversight.
  • Excellent digital communication skills, both written and verbal.
  • High proficiency in Microsoft Office 365 Suite, including Outlook, Excel, PowerPoint, Word, Teams, and SharePoint.
  • Exceptional organizational abilities and a keen attention to detail.
  • Flexibility to adapt swiftly to evolving priorities.
  • A commitment to maintaining confidentiality and exercising discretion.
  • Valid driver's license and willingness to drive within the Orange County area, with mileage reimbursement provided for travel beyond regular office commutes.
  • Familiarity with project management and office productivity software is advantageous.
