Job description

Job Overview

We are on the lookout for a skilled Finance and Grants Manager to join our leadership team in a pivotal role that reports directly to the Executive Director. This position is integral to our operations, focusing on the management of daily accounting and payroll activities to ensure our financial records remain precise and compliant. The ideal candidate will leverage their expertise in accounting procedures and financial analysis to foster transparency and accuracy across our organizational operations. This is a full-time, exempt remote position, with a requirement to visit Aberdeen, WA, every six weeks, along with participation in a week-long orientation and onboarding in Aberdeen.

Key Responsibilities

  • Prepare and maintain precise accounting documentation and records.
  • Ensure the integrity and structure of the organization's accounting system.
  • Oversee accounts payable, ensuring accurate coding and timely payments.
  • Manage accounts receivable, including understanding program contracts and budgets, preparing invoices, and recording transactions and receipts.
  • Prepare and record monthly grant invoices.
  • Record payroll in QuickBooks and reconcile third-party payroll reports.
  • Conduct monthly balance sheet account reconciliations and resolve discrepancies.
  • Proactively manage cash flow, including receivables, payables, collections, and banking activities.
  • Participate in monthly grant billing review meetings.
  • Prepare fiscal reports monthly, adhering to due dates.
  • Follow established standards, procedures, and applicable laws.
  • Identify and communicate opportunities for financial process improvements.
  • Oversee the day-to-day accounting functions performed by the office manager.
  • Support external audits by gathering requested information and preparing schedules in response to auditor requests.
  • Collaborate with the Executive Director and leadership team to develop the annual organization budget and grant-specific budgets.
  • Work with the contracted CPA to ensure timely internal and external financial and regulatory filings.
  • Perform related duties as assigned by the Executive Director.

Qualifications

  • Bachelor’s degree or equivalent in Accounting, Business Administration, or a related field is preferred.
  • 5+ years of accounting experience.
  • Proficient in QuickBooks Online or similar accounting systems.
  • Skilled in Microsoft Office, Google Suite, or related applications.
  • Experience with government grant requirements is preferred.
  • Excellent communication skills.
  • Highly organized with a strong focus on accuracy and attention to detail.
